POSITION SUMMARY

This position is responsible for assisting with both payroll and accounts payable operations to ensure accurate general ledger expense coding and act as a secondary support system for payroll and vendor payment processing. Positioncan also include cash receipt duties.

ESSENTIAL FUNCTIONS

  • Organize incoming expense reimbursement and vendor payment requests to ensure all necessary documentation and approvals are accounted for and GL account coding is noted.
  • Prepare Checks using the expense reimbursement forms and employee expense reports, for 2 corporate entities - Astra Mental Health and Recovery and Astra Foundation
  • Review check registers when checks are complete. Prepare checks for the mail. Mail checks. File Purchase Orders.
  • Monitor and add postage to postage machine at 5401 SW 7 th St. Prepare prepayment Purchase Order for postage to prevent service charges for all Astra locations.
  • Reconcile Accounts Payable. Check the general ledger for errors that relate to AP accounts. Prepare necessary journal entries associated with, or for corrections related to AP accounts.
  • Pick up cash and check payments at Astra locations and deposit to bank account.
  • Process all location credit card payments and close out batches.
  • Prepare daily cash report, communicate deposits to other teams, and post related transaction journal entries.
  • Responsible for processing payroll for Astra staff on a biweekly basis.
  • Completes daily documentation regarding wage verification.
  • Responsible for all payroll garnishment orders which include calculating, answering and creating purchase orders to pay. Additional communication with employees and outside parties is also required as needed.
  • Timely calculation and payment of all Astra payroll taxes. This includes booking payroll tax journal entries into the Great Plains system.
  • Maintains and updates all employees’ sick and vacation leave balances. Communicates with management about employees’ balances and reconcile differences as needed.
  • Responsible for all payroll-related filing and record-keeping.
  • Completes journal entries related to payroll accounts
  • Serve as the primary point of contact for Accounts Payable and Payroll, including organizing incoming information, requesting additional information, and responding to inquiries from employees and external vendors.
  • Assists the CFO, Manager of Accounting and Finance staff with various accounting projects, including annual audit preparatory work, as needed.
  • Other duties as assigned.
  • Manage and monitor all accounts, ledgers, and reporting systems ensuring compliance with appropriate GAAP standards and regulatory requirements as well as the requirements of state

POSITION QUALIFICATIONS

  • Bachelor’sdegreeinaccounting,business,orrelated field.
  • 3-5 yearsof related accounting experience.
  • Education can be substituted with six years of Accounts Payable or Payroll accounting experience.
  • Knowledge of accounting procedures and principles required.
  • Proficiency with Excel and Microsoft Office software is expected.
  • Strong written and verbal communication skills are required.
  • Hands on knowledge of accounting software required (Dynamics GP preferred)
  • Successful completion of Kansas Bureau of Investigation (KBI), Central Registry, and other applicable background investigations and possess a valid Kansas driver's license
