Children’s Services/Assistive Technology Administrative Assistant (Part-time)

TARC Inc, is seeking an individual who is interested in providing organizational, administrative, and receptionist support to the Children’s Services and Assistive Technology Division at the 2701 SW Randolph Ave location. The ideal candidate will possess the following job skills:

• Excellent customer service, telephone, verbal, and written communication skills

• Organized

• Strong interpersonal skills with ability to interact at all levels

• Detail-oriented

• Advanced computer skills (Microsoft Office, Google Drive)

• Perform general office duties including record maintenance

• Three years’ experience in clerical or related field preferred

• High School diploma or equivalent required with some Microsoft Office training

• Must have and maintain a valid Kansas Driver’s License, acceptable Motor Vehicle Record as well as maintain eligibility for TARC’s standard insurance policy.

This position will work a minimum of 20 hours per week.

  • JOB OBJECTIVE:
    Provide organizational, administrative and receptionist support to the Children’s Services/Assistive Technology Division. Ensure that divisional paperwork meets all regulatory and required guidelines.
  • RESPONSIBILITIES:

    I. RECORD MANAGEMENT
    A.
    * Maintain assigned files of correspondence, records, and documents for children, families and persons supported and safeguard all files (both electronic and paper) so that confidential information is only accessible to those who need the information.
    B. Complete scheduled review of files and monitor required paperwork to confirm that it meets all state and federal guidelines. Report any discrepancies to the Director as necessary to ensure compliance issues are remedied in a timely manner.
    C. Utilize tracking system to make certain records remain in compliance with state and grant regulations throughout the year. Assist in obtaining required documents as appropriate.
    D. Process enrollments and exits creating and closing records as appropriate.
    E. Maintain CS records according to TARC retention policies.

    II. STAFF SUPPORT
    A. Maintain office machines and assist staff in proper use.
    B. Maintain the electronic resource files and ensure they are easily accessible to staff (Google, G drive, etc.)

    VI. GENERAL DUTIES
    A.
    * Assist with Division and agency activities and projects as assigned such as family picnics, holiday parties, childcare, etc.
    B. Monitor the Miller building entrance doors. Greet visitors and provide appropriate
    information to them. Lock and secure doors at the end of the day.

    ** Assist with gathering child and family intake information. Input the information into the correct systems and communicate it to team members.

    III. TEAM MEMBER
    A. Maintain excellent communication and professional relationship with TARC staff, families and persons supported.
    B. Exemplify a helpful and pleasant response while supporting staff with individual requests and training.
    C. Participate in team meetings by sharing ideas and being actively involved in team processes.
    D. Maintain integrity and discretion in safeguarding confidentiality and restricted information gained through internal and external sources as a part of job requirements.

Qualifications & Requirements
  • QUALIFICATIONS:

    Person of good character who is mentally and physically able to conduct oneself in a responsible manner in carrying out the job for which they are employed.

    • EDUCATION:High School Diploma or equivalent plus two years college education or specialized secretarial training preferred.
