BGCT is seeking a highly professional, customer service-oriented Temporary Administrative Assistant to support daily administrative operations during a temporary staffing coverage need. This position serves as a critical first point of contact for families, donors, guests, community partners, staff, andClub members while helping maintain efficient front office operations during one of the organization’s busiest seasons.
This role will provide administrative support across multiple departments including Human Resources, Development, Operations, and Programs. The ideal candidate will demonstrate professionalism, adaptability, strong communication skills, attention to detail, confidentiality, and a commitment to exceptional customer service in a fast-paced nonprofit environment serving youth and families.
Essential Responsibilities:
Customer Service & Guest Relations Serve as the primary front desk contact for visitors, families, donors, vendors, applicants, and community partners
Greet and assist guests in a warm, professional, responsive, and solution-oriented manner
Answer and direct incoming phone calls promptly and professionally
Respond to general inquiries and provide accurate information regarding BGCT programs, operations, and services
Support a welcoming, safe, organized, and professional front office environment
Administrative Support:
Provide administrative support to Human Resources, Development, Operations, and Program Departments Perform data entry and maintain accurate records and databases
Assist with filing, scanning, copying, correspondence, and document preparation
Support internal and external communications as assigned
Process incoming and outgoing mail, packages, and deliveries
Assist with scheduling, calendars, and administrative coordination needs
Support donor acknowledgment processes and administrative development tasks as assigned
Office Operations & Inventory Management:
Operate and troubleshoot standard office equipment including printers, copiers, scanners, postage equipment, and multi-line phone systems
Monitor, organize, and maintain office & janitorial supply inventory levels
Assist with ordering and stocking office and administrative materials
Maintain organized administrative and shared office spaces
Support operational efficiency through strong attention to detail and follow-through
Security & Facility Support:
Support front office security procedures including guest check-in and visitor management
Monitor visitor access and maintain awareness of front office activity
Help ensure adherence to organizational safety, confidentiality, and professionalism standards
Maintain discretion and confidentiality when handling sensitive information and records
Qualifications:
High school diploma or equivalent required
Previous administrative assistant, receptionist, office support, or customer service experience preferred
Strong verbal and written communication skills
Proficiency with Microsoft Office, email systems, databases, and general office technology
Strong organizational skills with the ability to multitask and prioritize responsibilities
Ability to maintain professionalism, confidentiality, and strong attention to detail
Ability to work collaboratively and positively in a team-oriented environment
Experience working in nonprofit, youth-serving, or customer-focused environments preferred

Ability to sit, stand, walk, bend, and lift up to 25 pounds as needed
