The Warranty Coverage Administrator is responsible for quoting, enrolling, purchasing, and processing warranty coverage for Caterpillar and Allied engines, machines, and work tools. This role partners with Sales, Product Support, Accounting, and external stakeholders to ensure accurate warranty enrollment, compliance with manufacturer requirements, and thorough system documentation.
What You Will Do In This Role- Prepare and deliver Equipment Protection Plan (EPP) / Equipment Service Coverage (ESC) warranty quotes for new, used, and rebuilt equipment.
- Process enrollment and purchase of EPP/ESC warranties through manufacturer systems for both Caterpillar and Allied equipment.
- Verify equipment and engine eligibility, coverage types, warranty terms, and enrollment timelines prior to purchase.
- Accurately enter and maintain warranty details, including start dates, usage (age/hours), delivery dates, and applicable codes in internal systems.
- Maintain complete and organized warranty documentation for audit readiness and reference.
- Provide EPP documentation as needed.
- Generate and process warranty invoices in accordance with internal procedures.
- Collaborate with Accounting to reconcile discrepancies related to warranty purchases.
- Assist in resolving billing or enrollment issues to ensure financial accuracy.
- Deliver training and guidance to Sales and Product Support teams on warranty products, processes, and best practices.
- Serve as a key point of contact for warranty-related inquiries, including coverage terms and enrollment questions.
- Partner with Sales, Product Support, Accounting, and manufacturer representatives to ensure accuracy and compliance.
- Represent the company professionally across all communication channels, including phone, email, and ticketing systems.
- Strong attention to detail with a high degree of accuracy.
- Solid understanding of equipment and engine applications, warranty requirements, and service documentation.
- Proven ability to analyze detailed information, identify discrepancies, and maintain accuracy across quoting, enrollment, invoicing, and recordkeeping.
- Strong analytical, problem‑solving, communication, and organizational skills.
- Proficiency in computer systems and the ability to quickly learn company and manufacturer software.
- Associate’s degree.
- Two or more years service advisor, technician, or related experience.
