Description

The Program Coordinator - Finance serves as an administrative coordinator for the Finance Department and acts as the first point of contact for visitors, staff, clients, vendors, and external partners at the 5401 Finance Building. This position is responsible for coordinating front desk operations, managing incoming communications, processing mail, maintaining records, supporting department workflows, and ensuring efficient administrative operations across the Finance Division.

This position is primarily administrative in nature, with a strong focus on customer service, office coordination, communications, processing mail, maintaining records, supporting department workflows, and ensuring efficient administrative operations across the Finance division. Limited revenue cycle-related tasks may be assigned as needed to support operational workflows.

ESSENTIAL FUNCTIONS
  • Serve as the primary front desk coordinator and first point of contact for the Finance Building.
  • Professionally answer and manage incoming calls utilizing a multi-line telephone system.
  • Triage and route calls, voicemails, emails, and inquiries to the appropriate department or staff member.
  • Greet visitors, vendors, clients, and guests while maintaining confidentiality and professionalism.
  • Process incoming and outgoing mail, packages, and deliveries daily.
  • Sort, distribute, and track mail for appropriate departments and staff.
  • Process returned mail and coordinate demographic updates as appropriate.
  • Update client demographic information including addresses, phone numbers, email addresses, guarantor information, insurance information, and emergency contacts according to established procedures.
  • Scan, upload, copy, distribute, and maintain electronic and paper documents.
  • Maintain organized filing systems and departmental records.
  • Monitor shared departmental voicemail boxes and distribute messages appropriately.
  • Assist with payment collection and processing in accordance with agency policies and procedures.
  • Coordinate administrative projects, special assignments, and departmental initiatives.
  • Provide scheduling, meeting coordination, and administrative support to Finance leadership as assigned.
  • Assist with onboarding logistics, office supply management, and general office coordination.
  • Provide coverage and support during staff absences or periods of increased workload.
  • Complete required documentation accurately and timely.
  • Maintain confidentiality in accordance with HIPAA and agency policies.
  • Perform other administrative duties as assigned.

POSITION QUALIFICATIONS
  • High School Diploma/GED required
  • Preferred one-year customer service experience.
  • Must be 21 years old
  • Must have good command of the English language; must be able to read, communicate clearly and therapeutically with persons served and staff, both verbally and in writing, in a professional manner.
  • Strong proficiency in MS Office Suite and using personal computers/keyboard required.
  • Successful completion of criminal background check and DCF Child & Adult Abuse Registry check, and other applicable background investigations.
  • Possess a valid Kansas driver's license, reliable transportation, and proof of auto insurance.
