Office Administrator/ Coordinator
Position Overview
Perform complex administrative and clerical duties to ensure the continual functioning of the department. Work collaboratively with leaders to meet department needs with a high level of autonomy and performance.
Responsibilities- Work independently, using initiative and judgment to prioritize tasks and refer matters to delegated authority.
- Take and transcribe dictation, compose and prepare confidential correspondence, reports, and other complex documents.
- Research and abstract information and supporting data in preparation for meetings, projects, and reports.
- Greet applicants, team members, and guests; notify receiving personnel of arrivals and direct guests to the appropriate team member.
- Schedule appointments and meetings, maintain department calendars, and coordinate conferences.
- Track hours worked and leave for department staff, run reports on scheduling issues, staffing levels, and balances.
- Assist leadership with completing administrative tasks and oversee payroll processes when required.
- Perform higher‑level special projects with little oversight.
- Draft and send department communications, compose agendas, notices, minutes, and resolutions for meetings.
- Minimum of 3 years of clerical or administrative support experience.
- Strong verbal and written communication skills.
- Ability to work well under pressure to meet deadlines.
- Knowledge and proficiency with Microsoft Word, Excel, and PowerPoint.
- Ability to consider costs and benefits of potential actions to choose the most appropriate solution.
- Technical skills to perform data entry, create reports, and manage calendars.
- Ability to remain calm and professional in stressful situations.
High School Diploma or GED required. Bachelor’s Degree preferred.
