Regional Planner/Scheduler

Job Description Summary

This role combines the responsibilities of the Planner and the Scheduler function. It is primarily responsible for receiving all written and electronic customer work requests, verifying completeness of all entries, entering information into CMMS, determining appropriate supervisor assignments, and issuing work orders. The role plans and schedules work utilizing maintenance management systems (CMMS, etc.) and standard procedures to optimize maintenance resource utilization and productivity.

It is responsible for configuration and utilization of CMMS, including data capture, backlog management, labor management, resource productivity, performance reporting, material management, and other tasks required to meet the strategic long‑term objectives of the customer engineering team. Team spirit and commitment to customer service are required.

Job Description

This position is responsible for managing all activities related to planning and scheduling operations, maintenance, and engineering resources by performing the following duties personally or through subordinate supervisors.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES
  • Schedule maintenance activities including service requests and preventive/corrective maintenance, and develop, generate and disseminate the maintenance schedule while working closely with the account and management team to coordinate operational impacts.
  • Analyze maintenance and project resource requirements and assign mechanical, electrical, and engineering services as required, identifying resources and materials needed to execute requested work.
  • Coordinate maintenance activities and details with other departments, preparing specifications and work packages that include materials, labor, special tools/equipment, and written procedures to ensure a safe and efficient working environment. When work permits are required, verify completeness and include them with work packages.
  • Ensure work packages are complete and all materials, labor and equipment are available prior to scheduling. Document plans, schedules and resources needed to meet customer requirements and perform QA in the work order process.
  • Maintain a comprehensive backlog of all maintenance activity by work type in CMMS, recognize priority, and re‑schedule when appropriate, seeking direction from the Work Manager.
  • Maintain an accurate asset registry within the CMMS.
  • Communicate with Building Manager/Requester to determine scope and priority of the project or service request work, and submit written notifications to Building Managers to coordinate upcoming shutdowns.
  • Administer the preventative maintenance tracking and documentation programs, assign and distribute work to the appropriate supervisor, review the scope and frequency of assignments, and make changes where required.
  • Act as liaison between O&M staff and the requesting department for the planning and scheduling of work performed by the O&M site team.
  • Review monthly performance reports for accuracy, make corrections when necessary, ensure all established cost, quality and delivery commitments are met, and highlight resolution of operational and maintenance problems.
OTHER ESSENTIAL FUNCTIONS / DUTIES
  • Collaborate with the account management team and customer management team to identify, develop and deploy best practices (safety, quality control, training, standards, qualifications, maintenance practices, etc.).
  • Attend daily/weekly meetings to develop the next day/week’s schedule, review status of scheduled work orders and discuss new incoming work orders.
  • Recommend and arrange alternatives for resource schedule constraints such as changing assignments, overtime or utilization of third‑party resources.
  • Estimate job requirements for preventative maintenance activities including number/type of O&M staff to be assigned and number of man‑hours per task.
  • Identify opportunities to improve process, planning or performance through analysis of work order flow, project demands and expectations, and review utilization and cost data to recommend corrective actions to reduce costs.
