Job Description
  • Reporting to the Manager, provide administrative support to ensure the smooth and effective operation of the service.
  • Triage incoming telephone inquiries from clients, third‑party referrals, and physicians.
  • Book client appointments, schedule and coordinate virtual assessments and treatment appointments.
  • Provide technical guidance for clients to log onto virtual appointments.
  • Manage daily clinical service schedules and referrals.
  • Track progression of assessments and/or treatments for clients within the service.
  • Prepare and manage clinical charts, file and upload clinical documents within third‑party platforms.
  • Order medical and administrative supplies.
  • Support a healthy workplace that embraces diversity, encourages teamwork and complies with all applicable regulatory and legislative requirements.
  • Provide support to other services within the Work Oriented Clinical Program, including Back on Track Toronto, when required.
  • Perform other related duties as needed.
Job Requirements
  • One year Community College diploma in Office Administration or a related discipline, combined with 1–2 years secretarial/administrative experience, or an equivalent combination of education and experience.
  • Diploma in medical administration is considered an asset.
  • Sound analytical and problem‑solving skills, and strong administrative skills to maintain accurate records and general office management.
  • Proficient with web‑based databases and programs, Microsoft Office (Word, Excel, PowerPoint), and virtual platforms (Webex, OTN).
  • Familiarity with ICare is essential.
  • Sound judgment and the ability to interpret and apply policies and procedures.
  • Ability to work collaboratively within a fast‑paced, dynamic team environment.
  • Experience with database management; experience with Red Cap and statistical programs considered a further asset.
  • Superior written and verbal communication, interpersonal and organizational skills to deliver exceptional patient care.
  • Understanding of medical and pharmaceutical terminology is an asset.
  • Experience dealing with clients, staff and external agencies from diverse cultural and ethnic backgrounds, and demonstrating high levels of interpersonal skill and diplomacy.
  • Bilingualism (French/English) and/or proficiency in another language is an asset.
