As the Executive Assistant to the Chief Human Resources Officer (CHRO), you will be accountable for providing highly confidential administrative support and co-ordination to the CHRO ranging from routine to complex matters, managing the day-to-day administrative and confidential activities such as board materials, sensitive business and employee matters, team, vendor and internal meetings, calendar management, and required conferences and travel arrangements.
In addition, you will assist the broader HR Leadership team members (HRLT) with administrative support, as time permits.
Location: You will be based in our Toronto office and will work in a Hybrid model.
Reporting Relationship: You will report to the Chief Human Resources Officer.
Posting Type: Replacement Position.
Salary Range: The expected base salary range for this role is $72,000 and $85,000.
Total compensation may also include variable or discretionary incentive components, including but not limited to bonuses and commissions. Individual job offers are determined by various factors, including experience, education, skills, certifications, and other business needs.
Your Moneris Career - What you'll do- Maintaining the CHRO's calendar, coordinating, arranging and confirming meetings and other events, screening requests for appointments, expense filing and tracking, handling travel arrangements, and other supports as required.
- Using a variety of software applications, including Excel and Power Point, creating and populating templates, drafting memoranda, correspondence, reports, agendas, presentations, forms and other documents as directed; proofreading and checking all materials for accuracy, and completeness.
- Support the preparation of Human Resources Committee and Board material packages, coordinate the production of materials across the HRLT and ensure materials are completed and presented for review and posting by specific deadlines.
- Support the Executive Flexible Spending Account (FSA) program in cooperation with Payroll to monitor and process claims in a timely manner.
- Responsible for scheduling/coordinating departmental meetings under the direction of the HR Leaders.
- Responding to requests for information and escalations, referring to appropriate team member and/or taking action to resolve the issue where appropriate/possible minimizing CHRO involvement.
- Participating or supporting events through the Human Resources Engagement Committee.
- Performing a wide variety of duties to support the work of the CHRO and HRLT including monitoring the Privacy mailbox, assigning tasks as directed, developing and distributing workload reports for review and action, maintaining digital files and folders, preparing expense reports, overseeing specific cost centre budgets and recording/monitoring budget expenditures, preparing accruals, reviewing invoices for accuracy and processing requests for payment.
- Driving efficiencies and improvements in existing processes and material.
- Assisting and providing backup to other Executive Assistants as needed.
- Post-secondary education in Business Administration.
- Equivalent work experience may be considered a substitution.
- Minimum 5 years of experience in an administrative role.
- Advanced Microsoft Power Point, Word, Excel, Outlook, MS Teams and Viva Engage proficiency.
- Fluent in English (reading, writing, and verbal).
- Excellent communication skills (written and verbal).
- Ability to plan, organize and carry out the daily activities and administrative functions of a sensitive nature in a highly visible and dynamic environment.
- Strong interpersonal skills and the ability to interact with all levels of the organization (including executives), Board members, internal clients and third-party providers.
- Excellent organizational and time management skills and respond to changing needs.
- Proven ability to uphold confidentiality, be discreet, while always maintaining a professional demeanor.
- Experience as an Executive Assistant in a Human Resources environment.
- Previous experience in the payment industry considered an asset.
- Bilingualism (French) would be desirable.
