Role Overview: The Legal Assistant / Law Clerk provides end-to-end administrative and clerking support across the firm’s core practice areas (corporate/commercial, wills & estates, and residential/small commercial real estate). This role also serves as a client intake and triage – answering phones, triaging inquiries, and coordinating calendars – while preparing documents from templates, managing deadlines, maintaining accurate records, and ensuring a consistent, high-touch client experience.
Key Responsibilities- Prepare and file in corporations, amendments, and name searches; maintain minute books (resolutions, annual filings).
- Draft engagement letters, basic agreements (per templates), and closing binders; coordinate signatures and filing deadlines.
- Manage corporate records, calendars (AGMs/ARs), and e-registry tasks.
- Format/draft wills, powers of attorney from templates; assemble signing packages; oversee witnessing logistics.
- Open/close files, update precedent libraries, track execution and safekeeping instructions.
- Open files; order tax certificates, status certificates (condo), searches; liaise with lenders, brokerages, and opposing counsel.
- Prepare closing documents (TR, DoR, undertakings, mortgage instructions) from templates; reconcile trust; assemble closing packages.
- Coordinate closings, registrations, discharges, and follow-up reporting to clients/lenders.
- Answer phones/email professionally; triage inquiries; manage calendars and deadlines.
- Draft correspondence; proofread for accuracy and compliance; organize e-filing and physical records.
- Maintain office supplies; collaborate on process improvements and checklists.
- Minimum of 3 years of experience in a law clerk/legal assistant capacity (multi-practice exposure considered an asset).
- Detail-oriented with strong organizational abilities and excellent proofreading/document production skills.
- Strong time management and ability to manage competing priorities and shifting deadlines in a high-volume environment.
- Professional, discreet, and client-focused; confident handling confidential and sensitive matters.
- Ability to work independently and as part of a team; proactive communicator who follows through and takes ownership.
- Tech-savvy and adaptable (Microsoft Office, PDF/e-signature tools, practice management/e-filing platforms; quick to learn new systems).
