SummaryThe Senior Property Administrator reports to the General Manager and Property Manager to provide reliable, timely and efficient support in the assigned portfolio, including interfacing with various external service providers and tenants as directed. Additionally, this role is to facilitate continuous improvement in office systems, administration and procedures to ensure an efficient and productive operating environment. The incumbent is responsible for a variety of services related to the operation of commercial and retail properties in the assigned portfolio.

- Establish and maintain professional working relationships with tenants
- Assist in organizing special activities and programs to add value to the tenant’s experiences at the property
- Conducts themselves in a professional/ethical manner as a cornerstone of our activities
- Independently respond to complex tenant queries that have been escalated above subordinates
Ensure Accuracy and Reliability of Financial Information for Properties, Working with Accounting
- Coding invoices for payment including tenant chargebacks, operation invoices and building utilities in a timely manner. Ensure all invoices are processed by the month end deadline set by accounting
- Ensure accurate and timely monthly tenant billings through the monthly rent roll reconciliation and rent rolls processing
- Complete deposit slips, entering rents/charges in MRI and follow up on tenant arrears
- Assist and prepare monthly accruals for manager’s review
- Organize and manage tenant accounts receivables, prepare monthly parking revenue reports and collect rent cheques, percent rent, photocopy/scan and make deposits in a timely manner
- Resolving occupancy costs, escalation, billing discrepancies and submitting changes for approval
- Reviewing account reconciliation and recommending write-offs of accounts or adjustments to accounts
- Update monthly A/R reports and submit to manager for review, follow up with tenant to ensure timely payment
- Ensure tracking of budget-to-variance and assist in budget preparation for assigned portfolio
- Track Capital Expenditure expenses along with redevelopment/construction and reconcile accounts monthly
Provide support to other Canderel team members.
- Assist the manager with the administration of all tenant construction/redevelopment and ensure compliance with Canderel’s tenant Construction Manual for the property
- Assist in the management and recording of additional revenue streams, parking, storage, miscellaneous revenue, events, etc.
Assist with daily operations and building administration responsibilities
- Assist in compiling Monthly Report information and complete Variance Analysis for assigned portfolio and submit for review
- Ensure tenant’s adherence to lease terms and conditions
- Vacation coverage - Monitor “Angus” (tenant service request system) and create tenant requests on the “Angus Anywhere” system
- Independently respond to basic customer inquiries and elevate complex queries to the appropriate person
- Prepare communications to customers as required
- Build strong and lasting relationships based on trust with a focus on maintaining Canderel’s reputation and brand
- Assist in establishing and ensuring management and tenant files are maintained
- Vacation coverage - Creating purchase orders within Canderel’s policies, as required
- Service Contract tracking, prepare renewals/notices, assist in preparation of bid specifications and tender documents.
