Job DescriptionPOSITION SUMMARY
Under the supervision of the Administrative Manager, Receptionists are responsible for greeting visitors and delivering exceptional customer service. This includes answering calls, addressing visitor questions and needs, and providing an overall welcoming environment along with other clerical duties. The Receptionist is expected to perform duties in a manner consistent with the Salvation Army Meighen Health Centre’s core values, ensure resident safety, and demonstrate customer service excellence while planning, implementing and evaluating programs and services provided to residents.
SCOPE, AUTHORITY AND TERMS OF REFERENCE
The Receptionist position at the Meighen Retirement Residence reports to the Administrative Manager.
SPECIFIC RESPONSIBILITIESGeneral Strategy
- Creates a welcoming environment by greeting guests, answering phone calls, and directing visitors to appropriate areas.
- Receives and handles customer complaints or issues and passes them to the appropriate parties.
- Receives and transfers incoming calls and pages staff or transmits messages as required.
- Provides standard information on the facility and Residents in accordance with facility policies and procedures.
- Performs clerical duties including routine letters, memoranda, reports, forms, faxing and photocopying; checks typing for accuracy and prioritizes typing assignments within general guidelines.
- Manages inventory of supplies and follows the process for replenishing and requesting.
- Sorts, records and distributes incoming mail and processes outgoing mail.
- Monitors and logs visitor, contractor and volunteer access cards.
- Assists with scheduling when necessary.
- Contacts family members regarding residents’ mail held at Reception.
- Records bookings for Community Room and Conference/Board Room.
- Receives residents’ clothing for labeling and prepares labels for Laundry staff.
- Answers the intercom system for receiving doors and other access doors.
- Assists spiritual care and other departments by proofreading and folding bulletins.
- Books Wheel Trans wheelchair transport and taxis as requested by residents.
- Keeps the reception area neat, tidy and organized.
- Follows confidentiality and privacy principles in the reception area.
- Completes annual mandatory education.
Financial Accountability
- Receives and logs cheques or cash and provides receipts where applicable.
- Maintains inventory of office supplies, reordering as necessary or upon request.
Human Resources
- Welcomes job interview candidates and provides the Salvation Army Job Application.
- Demonstrates understanding of and compliance with legislative knowledge of the Employment Standards Act, Human Rights Act, Collective Agreement and MOHLTC Act as applicable to the position.
Health and Safety
- Initiates established communications procedures in case of fire or other emergencies, using the paging system where necessary.
- Demonstrates understanding of and compliance with workers’ responsibilities under the Occupational Health and Safety Act and Regulations, WSIB policy and Meighen Health Centre’s Health and Safety plans, policies and procedures.
- Attends Health and Safety in-services and takes action to address unsafe conditions and/or procedures to ensure a healthy and safe work environment.
Community Relations
- Promotes a positive working environment with service providers working with MHC.
- Establishes and maintains positive communication between MHC and the community.
Family and Resident Relations
- Models and fosters an environment of positive customer service in all aspects of care.
