Position: Executive Assistant - 12-18 Month Contract

About the Opportunity Executive Support

  • Manage the CEO’s complex calendar, including scheduling meetings, appointments, travel, and events
  • Coordinate internal and external meetings, including agendas, briefing materials, presentations, and follow-ups
  • Prepare correspondence, reports, memos, and confidential documents on behalf of the CEO
  • Screen and prioritize incoming communications, including emails and phone calls
  • Track action items and ensure timely follow-through on priorities and deadlines
Board & Stakeholder Coordination
  • Assist with Board of Directors meetings, committee meetings, and governance documentation
  • Prepare meeting packages, take minutes, and maintain accurate records
  • Liaise professionally with donors, community partners, government representatives, and external stakeholders
  • Support fundraising, community engagement, and organizational events as required
Administrative & Operational Support
  • Maintain organized filing systems, records, and confidential information
  • Support office operations and administrative processes
  • Coordinate travel arrangements, expense reports, and procurement requests
  • Assist with special projects, strategic initiatives, and cross‑functional coordination
Communication & Relationship Management
  • Serve as a key point of contact between the CEO and staff, partners, and external stakeholders
  • Draft internal communications and announcements
  • Help foster a collaborative and professional organizational culture
About You
  • Postsecondary education in Business Administration, Office Administration, Communications, or a related field preferred
  • 3–5+ years of experience supporting senior executives, ideally within a non‑profit, healthcare, education, or community organization
  • Exceptional organizational and time‑management skills
  • Strong written and verbal communication abilities
  • High level of professionalism, diplomacy, and confidentiality
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms
  • Experience coordinating board meetings and governance documentation is an asset
  • Ability to manage multiple priorities in a fast‑paced environment
Pay Range

$75,000 - $85,000 per year
