About the Opportunity Executive Support
- Manage the CEO’s complex calendar, including scheduling meetings, appointments, travel, and events
- Coordinate internal and external meetings, including agendas, briefing materials, presentations, and follow-ups
- Prepare correspondence, reports, memos, and confidential documents on behalf of the CEO
- Screen and prioritize incoming communications, including emails and phone calls
- Track action items and ensure timely follow-through on priorities and deadlines
- Assist with Board of Directors meetings, committee meetings, and governance documentation
- Prepare meeting packages, take minutes, and maintain accurate records
- Liaise professionally with donors, community partners, government representatives, and external stakeholders
- Support fundraising, community engagement, and organizational events as required
- Maintain organized filing systems, records, and confidential information
- Support office operations and administrative processes
- Coordinate travel arrangements, expense reports, and procurement requests
- Assist with special projects, strategic initiatives, and cross‑functional coordination
- Serve as a key point of contact between the CEO and staff, partners, and external stakeholders
- Draft internal communications and announcements
- Help foster a collaborative and professional organizational culture
- Postsecondary education in Business Administration, Office Administration, Communications, or a related field preferred
- 3–5+ years of experience supporting senior executives, ideally within a non‑profit, healthcare, education, or community organization
- Exceptional organizational and time‑management skills
- Strong written and verbal communication abilities
- High level of professionalism, diplomacy, and confidentiality
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms
- Experience coordinating board meetings and governance documentation is an asset
- Ability to manage multiple priorities in a fast‑paced environment
$75,000 - $85,000 per year
