Why is this role important?

The Coordinator provides project coordination and operational support across program activities. This role supports planning, progress monitoring, product development and dissemination, stakeholder engagement, and corporate reporting. The Coordinator manages the team email inbox and meeting logistics, maintains documentation and site content, and supports data oriented research and reporting activities.

What you’ll do
  • Coordinate projects from initiation to delivery including the development and maintenance of project charters, timelines and status tracking, monitoring progress and escalating schedule or scope issues to the people leader.
  • Organize and support team and project meetings including preparing agendas and materials, scheduling internal and external meetings, taking minutes, tracking action items and following up with contributors.
  • Supports stakeholder communications and intake including triaging team inboxes, routing client queries to subject‑matter experts, maintaining distribution lists/contact records in CRM and other tools.
  • Support production and dissemination of products including the preparation of presentations, briefing notes, interpretive text, data tables and web content; coordinate posting to CIHI website and SharePoint; ensure version control and archival of documentation.
  • Maintain and improve documentation and information management including developing and updating SharePoint sites, document libraries and file structures; apply CIHI quality management practices consistently.
  • Support operational and corporate reporting by coordinating inputs for annual operational planning, quarterly reporting and ad hoc status reports; compile metrics and reporting tables from multiple sources.
  • Support events and virtual learning delivery by coordinating webinars and virtual meetings (moderation support, technical coordination), managing registrations and participant communications.
  • Assist with administrative and procurement tasks to support the team.
  • Perform literature and environmental scans, web searching, summarizing and synthesizing information to support program and analytic work.
  • Contribute to promotional and outreach activities as required, liaising with internal and external stakeholders.
What you’ll bring to the table
  • Undergraduate degree in Health, Business Administration, Social Sciences, Communications, Informatics or related field, or equivalent combination of education and related experience.
  • 1–3 years’ experience in project coordination, program support or related administrative/operational roles within multidisciplinary teams.

Demonstrated organizational, planning and time management skills; ability to manage multiple concurrent tasks and priorities.

  • Strong written and verbal communication and interpersonal skills; experience preparing briefing notes, presentations and meeting materials.
