Securiguard is currently looking for a driven and efficient Operations Coordinator to provide support to our office in Toronto. Working with our internal and external stakeholders, the Operations Coordinator oversees the administrative and organizational communication between the office and staff. The Operations Coordinator will also be responsible for ensuring the smooth operation of our scheduling, reporting and recruitment functions. The role is fast-paced, and the ideal candidate will be quick-thinking, metrics-orientated and adept at multi-tasking and problem-solving.

Main Responsibilities

  • Being the first point of contact for employees and staff, ensuring that all concerns and issues are addressed in a timely manner and coordinating with staff requests that require follow-ups.
  • Lead and manage staff sort notice scheduling across multiple sites, ensuring optimal coverage while minimizing non-billable overtime through strategic planning.
  • Manage and oversee hourly employee information changes and general communications while following Ontario Labour Standards. Scheduling also includes coordinating with employees regarding vacation and leave requests.
  • Provide exceptional customer service to all clients, security professionals, prospective clients, and Securiguard representatives via phone, email and in-person.
  • Oversee the organization and coordination of office operations and procedures, ensuring consistent communication across teams via telephone and email.
  • Provide support to the National Security Operations Center (NOSC).
  • Work closely with site supervisors, managers and directors for staffing, uniforms, certification and supplies required for the site(s) and clientele.
  • Maintain detailed reporting on staffing levels, scheduling efficiency and operational metrics.
  • Support general office coordination and administrative processes as required.
  • Coordinate site-specific training and certifications.
  • Manage all pay rates and overtime for each employee to ensure labor standards are being followed.
  • Complete safety documentation, office audits, site audits and employee audits.
  • Perform additional duties as assigned by the Client Services Manager.
What would you bring
  • 2+ years of experience in operations coordination, workforce scheduling or a similar role.
  • Experience in high-volume or 24/7 scheduling environments is strongly preferred.
  • Ontario Security Licence is an asset.
  • Strong knowledge of Canadian employment standards and compliance best practices.
  • Excellent written and verbal communication skills with strong stakeholder management ability.
  • Highly organized with the ability to manage multiple priorities while maintaining confidentiality.
  • Collaborative team player with strong judgment, composure and attention to detail.
  • Diploma or certification in a relevant field would be considered an asset but is not required.
