Job SummaryThe Sales Administrator and Reception position is responsible for supporting the administrative and operational functions of the dealership. This includes providing exceptional customer service by answering calls, greeting customers, and processing payments, as well as coordinating the intake, stocking, and delivery of new and used vehicles.
This role plays a key part in maintaining accurate records, managing Key Track and inventory processes, and performing monthly inventory checks to ensure smooth dealership operations. The position also provides reception coverage and general administrative support to ensure consistent front‑line and back‑office operations.
Key Responsibilities Customer Service & Reception- Answer phone calls, greet customers, and provide professional front‑line support.
- Process payments, issue receipts, and manage emails and voicemails in a timely manner.
- Maintain a clean and organized reception area and provide coverage as required (including lunches and Saturdays).
- Complete general administrative duties including filing, ordering supplies, and maintaining dealership documentation.
- Manage keytrack processes and ensure accurate updates to vehicle and key records.
- Receive, inspect, and stock new and used vehicles accurately in dealership systems (Merlin and Serti).
- Record vehicle details, assign stock numbers, update vehicle status, and ensure proper documentation is completed.
- Coordinate vehicle deliveries and report any issues as required.
- Support monthly inventory checks by reconciling records against Key Track.
- Identify and report discrepancies and assist in resolving them with management.
- High school diploma or equivalent.
- Strong customer service and communication skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Experience with Serti considered an asset.
- Strong attention to detail and organizational skills.
- Ability to prioritize tasks and work in a fast‑paced environment.
- Team‑oriented, adaptable, and problem‑solving mindset.
- Monday to Thursday: 11:00 AM – 8:00 PM
- Saturday: 9:00 AM – 6:00 PM
- Up to 44 hours per week based on business needs
- Fast‑paced environment requiring multitasking, adaptability, and the ability to manage competing priorities and frequent interruptions.
- Frequent interaction with managers, Service Advisors, Technicians, and other departments.
- Physical activity including prolonged standing and occasional handling of moderately heavy items.
- Exposure to typical dealership conditions, including noise, dust, exhaust fumes, and temperature variations.
