Your role Proactively manage and optimize a complex executive calendar, aligning priorities across multiple stakeholders
Coordinate and support leadership meetings and committees, including agenda preparation, documentation, and follow-ups
Provide email management support, anticipating needs and ensuring effective prioritization
Coordinate business travel and key logistics, ensuring a seamless experience
Manage and validate expense reports, approvals, and administrative processes with accuracy and rigor
Act as a key liaison between the Vice-President and internal/external partners, fostering strong collaboration
Support the planning and execution of major events, client activities, and strategic initiatives
Coordinate onboarding, departures, and internal requests (IT access, tools, reporting), while handling confidential information with discretion.
Your team This position reports to the Vice-President & Head of Ontario. In this role, you’ll join a large and complex team of professionals working in an environment that encourages collaboration and communication. Our team stands out for its professionalism, agility, and strong sense of teamwork.

Prerequisites Completed post-secondary education and 3+ years of experience in an Executive Assistant or senior administrative role
Ability to manage high-volume, high-complexity priorities with autonomy
Strong proficiency with Microsoft 365 tools (Outlook, Excel, PowerPoint, Teams)
Excellent organizational, communication, and prioritization skills
Strong sense of discretion, judgment, and professionalism
Proven ability to build relationships and collaborate effectively
