Description

The Part-Time Weekend Receptionist serves as the first point of contact for individuals supported, families, employees, visitors, contractors, and community partners s role is responsible for providing professional reception and administrative support while creating a welcoming, respectful, and inclusive environment that reflects Reena s mission, vision, and values.

Working collaboratively with program staff and internal departments, the Receptionist responds to inquiries, directs visitors, coordinates building access, manages incoming communications, and supports the efficient day-to-day operation of the residence. The successful candidate will demonstrate excellent customer service, strong organizational skills, attention to detail, and the ability to maintain confidentiality while managing multiple priorities in a fast-paced environment.

This position will be located at Frankfort Family Reena Residence (FFRR), 165 Elm Ridge Drive, Toronto, ON M6B 1B5
. Reena reserves the right to reassign this position to a different location due to operational needs.

Shift

Schedule:

  • Friday: 4:00 p.m. – 9:00 p.m.
  • Saturday: 9:00 a.m. – 9:00 p.m.
  • Sunday: 9:00 a.m. – 9:00 p.m.

Job Responsibilities:

1. Primary Responsibilities

  • Monitor building access by buzzing individuals into the parking lot and facility.
  • Greet and assist tenants, staff, day program participants, and visitors in a professional and welcoming manner.
  • Oversee the visitor sign-in process and direct individuals to the appropriate appointments or destinations.
  • Answer incoming calls and transfer them to the appropriate person, department, or voicemail.
  • Log keys in and out in accordance with organizational procedures.
  • Perform general administrative tasks, including photocopying, uploading documents to Share Vision, and maintaining records.
  • Provide support for special events and organizational functions as needed.
  • Sort and distribute incoming mail into designated slots.
  • Assist with ordering, receiving, and unpacking office supplies.
  • Communicate with Property Department staff as required to address maintenance or facility-related needs.
  • Where applicable, maintain the reception coffee station, ensuring coffee and related supplies are available and replenished as needed.

Education and Experience:

1) Qualifications

  • Completion of a high school diploma.
  • Minimum of one (1) year of experience or volunteer work in reception or customer service.
  • Proficient in using multi-line phone systems and Microsoft Office applications.
  • Demonstrates a professional, courteous, and approachable demeanor.
