The Office Manager leads the administration team and oversees the day-to-day work that keeps Tricon's Toronto office running smoothly. The role works closely with senior leaders across the business to support the team's growth and ensure administrative support remains thoughtful and reliable as priorities change. The Office Manager also owns the workplace itself, bringing care to the details that create an office experience reflective of Tricon's standards.
Our Toronto corporate office is located in Bloor-Yorkville, offering a central, transit-accessible location surrounded by restaurants, shops and neighbourhood amenities.
Essential Duties and Responsibilities:Workplace Operations & Experience
- Own the daily operation and upkeep of Tricon's Toronto office - including reception, meeting rooms, and shared spaces - ensuring every space is clean, safe, functional, and polished, and setting the standard for a welcoming, professional experience for employees, executives, and visitors.
- Lead the administration team's support of employee meetings and events, including room setup, furniture rearrangement, catering coordination, and cleanup.
- Coordinate the ordering, setup, and distribution of new cell phones for employees at Corporate.
- Oversee Tricon's Travel Program in Canada, including booking support, vendor coordination, and policy compliance.
- Plan and coordinate preventative maintenance, repairs, upgrades, and recurring maintenance schedules for office spaces, building systems, equipment, furniture, HVAC, and specialty appliances.
- Own vendor and contractor relationships end to end - serving as the primary point of contact, negotiating and managing service agreements, and monitoring vendor performance, cost, and on-site work.
- Prepare, monitor, and track office and facility budgets and expenses, including vendor costs, maintenance spend, and project costs.
- Partner with internal departments on office improvements, renovations, relocations, and workstation changes, coordinating space planning, furniture, and on-site and off-site storage.
- Liaise with the art curator and coordinate the handling, shipment, placement, and care of artwork and other valuables.
- Own office security administration, including access control, camera systems, and security setups for reception desks - serving as the primary point of contact for Tricon's security vendor and coordinating with IT as needed to keep employee, vendor, and visitor access current and appropriate.
- Partner with the Health and Safety Committee, building management, and internal teams to support workplace safety, emergency readiness, regulatory compliance, and timely resolution of facility risks.
- Lead and manage the administration team, including receptionists and Executive Assistants - setting clear responsibilities, priorities, service standards, and consistent procedures, tools, templates, and confidentiality standards across the team.
- Own the full people-management cycle for the team: recruitment, onboarding, goal setting, coaching, performance reviews, development, and recognition, partnering with Human Resources as needed.
- Monitor workload, capacity, and coverage across reception and executive support; allocate or rebalance work and coordinate backup support for absences, vacancies, and shifting business priorities.
- Build trusted relationships with supported executives and internal stakeholders to understand needs and gather feedback, acting as the escalation point for complex or confidential administrative matters.
- Excellent communication and relationship-building skills, with the judgment and discretion to work effectively with senior leaders on confidential or sensitive matters.
- Strong organizational and problem-solving skills, with the ability to balance people leadership, time-sensitive requests, and ongoing operations.
- A service-oriented, detail-focused approach and a high bar for the employee and visitor experience.
- 5+ years of progressive experience in office management, workplace or facilities operations, or administrative services, including direct people leadership.
