Toronique is seeking a highly organized and detail-oriented Construction Administration Coordinator to join our team in Toronto. This is a full-time, in-office position focused on the administrative and coordination side of construction projects. This is not a site-based role.
Responsibilities- Coordinate and maintain construction project documentation, records, and files
- Assist with contracts, purchase orders, change orders, invoices, and related documentation
- Communicate with project managers, consultants, subcontractors, suppliers, and internal team members
- Track project schedules, outstanding items, approvals, and deliverables
- Assist with permit, drawing, and consultant documentation
- Prepare correspondence, reports, meeting notes, and project updates
- Maintain organized records of drawings, contracts, quotations, invoices, and other project documents
- Follow up with trades, consultants, and suppliers as required
- Support project managers with day-to-day project administration
- Assist with general construction office operations and administrative tasks
- Prioritize and organize daily, weekly, and monthly office and company tasks, objectives, and deadlines
- Monitor progress on assigned tasks and company goals, ensuring appropriate follow-up and timely completion
- Manage competing priorities effectively through strong time management and organization
- Previous experience in construction administration, project coordination, or a related construction role
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple projects, deadlines, and priorities
- Proficiency with Microsoft Office, particularly Excel, Word, and Outlook
- Comfortable reviewing construction-related documents, drawings, contracts, and invoices
- Strong follow-up and problem-solving skills
- Ability to work independently while coordinating effectively with a team
- Experience with residential construction or development is considered an asset.
