Position Summary:
Reporting to the Office Manager & Executive Assistant to the President, the Executive Assistant to the AVP, Institutional Strategy and Director of Operations, Office of the President (Executive Assistant) supports the Office Manager & Executive Assistant to the President in preparing and managing the President’s schedule and serves as the primary scheduling and administrative support to the Assistant Vice-President, Institutional Strategies and the Director of Operations.
This includes managing complex calendars; coordinating meetings and high-level engagements; booking travel; identifying and prioritizing urgent or sensitive issues; preparing executive briefings and background materials; independently drafting complex and confidential correspondence; and ensuring Senior Leadership are informed of key decisions, operational issues, and emerging matters. The role requires strong administrative skills and sound judgment in resolving inquiries independently and redirecting issues as appropriate.
The Executive Assistant serves as the designated back-up to both the Executive Assistant to the President and reception and correspondence units, ensuring continuity of executive support and day-to-day office operations during absences and peak workload periods.
The incumbent will have daily access to confidential and sensitive information related to all areas of the University’s functioning including financial, budgetary, and human resources information. The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness and a need to maintain absolute confidentiality. The incumbent must present a professional image in the Office of the President by interacting knowledgeably and courteously with the many people including governors, senior administrators, faculty, staff, students and community members who come into contact with the Office of the President.
