The Opportunity

In the dynamic role of Administrative Coordinator, you'll be the go-to person for executing and tracking key administrative tasks that support our most critical business processes — from tracking contractual commitments and managing scholarship exports to helping drive important organizational initiatives forward.

You’ll also play a pivotal role in triaging internal and external inquiries, ensuring questions are answered promptly or escalated to the right people when needed. Additionally, you'll help keep our workspace functioning efficiently by taking care of essential office management duties.

What You’ll Do

  • Execute key operational processes for the Impact Team such as general inquiry support and maintenance of contact lists
  • Document management which includes processes and technology to organize, track, store, retrieve and control documents, including contracts
  • Provide general office administrative support to the Executive Assistant and team, manage meeting calendars, organize shared drive content, update access permissions, and participate in working teams as assigned
  • Triage external program-related inquiries, respond to standard questions, escalate or redirect when required, and track inquiry trends to identify opportunities for improvement
  • Maintain and update electronic contact and distribution lists in collaboration with other departments, and help improve the list management process to ensure timely and accurate updates
  • Coordinate small projects and support larger initiatives by tracking tasks, maintaining schedules in project management tools, and assisting with team travel, meeting, and event planning while staying within budget
  • Prepare briefing documents for team travel, develop and update annual engagement plans with input from the team, and ensure alignment with organizational activities in coordination with Marketing & Communications
  • Additional administrative duties as needed, based on your training, experience, and interest in learning new skills

What You Bring

  • 1 to 3 years of practical experience in a business administration or similar role; completion of secondary school diploma and/or related college program, or an additional 2 years’ related work experience
  • Effective communication skills, written and verbal
  • Customer service oriented when working with external partners and other stakeholders
  • Quickly adopts tools, technologies, and software applications to gain efficiencies and consistency in delivering desired outcomes
  • Strong administration skills including attention to detail and time management
  • Ability to work under pressure to meet sometimes competing deadlines
  • Effective in working in both a project and cross-functional environment
  • Diligence and accuracy
  • Ability to solve problems and articulate appropriate actions to resolve issues
  • Understanding and working knowledge of contract administration would be an asset
  • Fluent in English and French
