Aboutthe Role
As a Planning & Product Coordinator, you’ll play a critical role in building compelling, globally inspired incentive travel proposals. Working closely with Product Buyers and Sales Directors, you’ll support the sourcing, budgeting, and development of programs that balance creativity, feasibility, and commercial rigor. You’ll contribute to shaping proposals from the ground up—conducting destination research, coordinating with suppliers, and supporting the development of deliverables that bring ideas to life.
Base salary range for this role is $55,000 - $60,000 annually.

Assist with pre‑sale sourcing, budgeting, and proposal development by gathering supplier information, building RFPs, and supporting program design that balances experience, cost, and feasibility.
Bring Programs to Life Through Research & DetailConduct destination and supplier research, develop foundational program elements (e.G., room blocks, program grids), and ensure all materials are accurate, organized, and client‑ready.
Collaborate Across TeamsPartner closely with Product Buyers, Planners, and Sales Directors to support timelines, gather inputs, and ensure alignment across stakeholders as proposals evolve.
Support Supplier Sourcing & CoordinationAssist in engaging hotels, DMCs, and experience providers—collecting proposals, reviewing details, and helping compile information into compelling, easy‑to‑digest formats.
Contribute to Budgeting & Cost AccuracySupport cost development by collecting quotes, updating budgets, and learning how to evaluate pricing, risks, and assumptions within proposals.
Build Foundational Sourcing & Negotiation SkillsDevelop an understanding of contract terms, concessions, and supplier negotiations while supporting senior team members in achieving competitive outcomes.
Strengthen Product KnowledgeContinuously build knowledge of destinations, hotels, and industry trends, becoming a reliable resource for emerging ideas and program inspiration.
Ensure Smooth Handover to OperationsOrganize proposal materials, supplier information, and contracts for seamless transition to the Operations team once programs are confirmed.
What You Bring- 1+ year of experience in events, hospitality, or the meetings & incentive travel industry
- Exposure to sourcing, planning, or pre‑sale proposal development is an asset
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Clear written and verbal communication skills
- A collaborative mindset and ability to work cross‑functionally
- Comfort with Microsoft Office / Google Suite (CVENT is a plus)
- Curiosity and enthusiasm for global travel, destinations, and experience design
