Reporting Relationships

The Procurement Coordinator reports to the Procurement Manager and has no direct reports.

Accountabilities and Key Functions

The Procurement Coordinator provides hands‑on support across the full procurement lifecycle — from vendor intake and equipment sourcing to contract execution, insurance, and department administration. You will work closely with cross‑functional teams to keep sourcing and contracting processes moving smoothly.

Role & Responsibilities Equipment Sourcing and Vendor Management
  • Keep up‑to‑date records of all pricing requests and submissions, including updating procurement trackers and document filing.
  • Coordinate the intake of new vendors (e.g. NDA execution, onboarding and tracking of compliance requirements).
Contract Execution
  • Support exhibit review during contract negotiations, including:
  • Maintaining records of all document drafts.
  • Collecting document feedback from all subject matter experts.
  • Support the Procurement Manager with the facilitation of exhibit review sessions between internal subject matter experts and external counter parties.
  • Update project compliance trackers with contractual obligations.
Insurance Support
  • Support the preparation of Insurance request for information packages.
  • Lead document and information collection relating to equipment supplier shipments.
  • Maintain the insurance compliance tracker.
General Procurement and Administrative Support
  • Prepare purchase orders for major contracts.
  • Perform various administrative and support tasks as needed.
  • Maintain the schedule for annual conferences and networking opportunities.
  • Assist with the rollout and updates of various Procurement Department initiatives.
Knowledge, Skills, Abilities:
  • Strong organizational skills and the ability to manage information accurately, consistently, and with attention to detail.
  • Ability to coordinate multiple priorities, follow up on outstanding items, and keep work progressing in a timely manner.
  • Clear written and verbal communication skills, with the ability to gather, organize, and share information effectively.
  • Sound judgment and discretion when handling confidential or commercially sensitive information.
  • Collaborative and service‑oriented approach, with the ability to build effective working relationships across internal and external stakeholders.
  • Proactive mindset, adaptability, and problem‑solving skills to support changing business needs.
  • Basic knowledge of solar, wind and BESS technology is an asset.
Minimum Requirements
  • A college diploma or higher degree in post‑secondary education.
  • Minimum of 1 year of experience in administration and project coordination.
  • Proficiency in Microsoft Office suite, and Adobe. Experience with ERP systems and artificial intelligence (AI) tools is an asset.
Compensation
  • Base salary range: $65,000 – $75,000 CAD.
  • Target annual bonus: 10% target bonus.
  • Compensation will vary depending on experience and qualifications.
