Under the supervision of the Proposal Supervisor, this role is responsible for the coordination of proposal/tender/quote submissions from bid/no bid decisions through contract execution. In this role you will work with multiple teams including Estimators and Operations to ensure that we are submitting high quality responses to our clients. To be chosen for this role you must have prior experience in proposal coordination, and effective verbal and written communication skills.

What You'll Do Here:

  • Act as single point of contact with the client, break out and assign deliverables, develop proposal outline, schedule/facilitate kickoff calls and touchpoints, ensure RFP compliance, facilitate reviews, perform final polish and quality control on all documents, manage the post-bid clarifications, build proposal presentation PowerPoints, and overall coordination of the proposal from the bid/no bid review to the contract execution.
  • Lead the end-to-end proposal development process, serving as the primary liaison between internal stakeholders and clients to ensure timely, compliant, and compelling submissions.
  • Strategically plan and manage proposal timelines, kickoff meetings, content development, and review cycles, ensuring alignment with client expectations and internal quality standards.
  • Author and refine high-impact proposal content including executive summaries, technical narratives, project profiles, and resumes, while mentoring junior team members on best practices in proposal management.
  • Collaborate with estimating, operations, and business development teams to craft tailored win themes and value propositions that differentiate our offerings.
  • Support the visual strategy of proposals by conceptualizing and directing the creation of custom graphics and presentation materials using PowerPoint and other tools.
  • Support maintain and enhance the proposal content library and knowledge base (SharePoint, Expedience), ensuring content is current, searchable, and aligned with brand and messaging standards.
  • Analyze proposal outcomes and client feedback to drive continuous improvement in proposal strategy, content, and process.
  • Contribute to business development efforts by developing pursuit strategies, supporting pipeline management, and preparing client-facing materials.
  • What You Bring to The Team:

  • A proactive and strategic mindset with 5+ years of progressive experience in proposal coordination or proposal management, ideally within the utilities or infrastructure sector.
  • Demonstrated ability to lead complex, multi-disciplinary proposals under tight deadlines with minimal supervision.
  • Exceptional writing, editing, and storytelling skills with a keen eye for detail and a strong grasp of persuasive communication techniques.
  • Advanced proficiency in Microsoft Office (especially Word and PowerPoint), Adobe Acrobat, SharePoint, and proposal automation tools such as Expedience.
  • Strong organizational and project management skills, with the ability to prioritize competing demands and drive results in a fast-paced environment.
  • Proven experience collaborating across departments and influencing stakeholders at all levels.
  • APMP Foundation or Practitioner Certification strongly preferred.
  • A degree in Communications, Marketing, Journalism, Business, or a related field—or equivalent professional experience.
  • The expected pay range for this role is $80,000 - $90,000 per year

    Individual pay is determined based on several factors, including work location, education, experience, unique skills and job conditions. Other considerations may include certifications, specialized training, and the complexity or scope of the role.
