Aboutthe Role
We are recruiting an Operations Analyst to join our Toronto office. The role involves supporting day‑to‑day operations for MT>
Align, managing intake, onboarding, training of contract lawyers, coordinating engagements, maintaining operational records, and assisting business development activities. The position is hybrid and fills an existing vacancy.
Salary Range: $61,500 – $72,000 annually (may vary based on knowledge, skills, and experience).
Responsibilities- Support day‑to‑day back and mid‑office operations for MT>
Align, working closely with internal stakeholders and external technology vendors. - Develop and maintain process workflows, documentation, trackers, reporting tools and databases to improve operational efficiency.
- Identify operational issues and escalations; ensure data integrity across systems.
- Support intake and onboarding of new contract lawyers, including interview coordination, data entry and provision of necessary documents and system access.
- Coordinate contract lawyer training sessions and provide support for MT>
Align systems such as Click Time and Coupa. - Prepare engagement documentation (MEFs, CAAs) and ensure contractors have all required information to commence engagements.
- Assist with business development materials, CRM and opportunity tracking, and marketing material preparation.
- Coordinate MT>
Align community communications and quarterly community calls. - Monitor financial processes: AP invoices, pre‑bills, collections and reporting of operational and financial metrics.
- Administer quality control activities including Net Promoter Score surveys.
- Support project administration for contracts, corporate due diligence and other client projects.
- Post‑secondary education in Business, Finance, Law, Administration or a related field.
- Minimum 2–3 years of experience supporting operations, project coordination or professional services teams.
- Experience managing multiple priorities and stakeholders in fast‑paced environments.
- Experience maintaining operational processes, databases or workflow documentation.
- Familiarity with legal or professional services settings is an asset.
- Technically proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and PDF editing. Knowledge of AI tools such as Copilot or Claude is an asset.
- Experience with project management, electronic document management (EDM) and client relationship management (CRM) systems is an asset.
- Strong customer‑service mindset and continuous improvement orientation.
- Excellent attention to detail, strong written communication, and high level of confidentiality.
- Excellent organizational and time‑management skills; able to work independently with minimal supervision.
- Problem‑solving skills and a proactive, can‑do attitude.
