Purpose of the RoleThe Workforce Analyst is responsible for the short- and long-term scheduling for all Business Units at a National Level, meeting Service Level delivery targets and scheduling objectives. The Analyst will ensure schedules are created and delivered based on established operating rhythms, while considering rules, labour laws and CBA regulations. They will deliver recommendations on Workforce requirements, determine labour/FTE sizing that could increase or decrease staffing, and implement best practices in data analysis, forecasting and scheduling optimization.
The Analyst works closely with Business Units to identify agent/employee behaviors and performance that facilitate productivity discussions.
- Develop and maintain accurate workforce management forecasting models using the primary technology platform; if unavailable, create models using other means.
- Conduct regular reviews and updates of forecasting methodologies to align with current business needs.
- Perform root cause analyses on forecast variances and develop action plans to address discrepancies.
- Locate efficiencies for organizational units and provide recommendations for possible lowered staffing requirements based on KPI goals.
- liaise with Business Unit managers, supervisors and employees to ensure appropriate staffing to meet service objectives.
- Lead data and statistical analysis to recommend changes to business unit sizing.
- Prepare and adjust schedules based on business requirements such as trainings, shift bids, agent preferences and overtime.
- Generate and assign schedules using WFM tools and schedule patterns.
- Conduct scenario planning to assess the impact of different scheduling approaches.
- Run workload planners, manage availability, calculate open shifts, and create employee shift sets to ensure proper coverage.
- Create and manage the call‑in list to maintain appropriate coverage.
- Act as a first line of response for early‑morning incidents (break‑in, power outage, alarm, snow) and elevate issues that cannot be easily resolved.
- Review targeted employee trends and behaviors; report daily, weekly, monthly to supervisors based on absenteeism and other KPIs.
- Track and review workforce management data, highlighting trends, performance indicators and productivity.
- Participate in projects that enhance workforce management practices.
- Regularly review Business KPIs and provide productivity recommendations.
- Post-secondary degree focused on Business Analysis, Statistics or related discipline.
- 1–3 years of Workforce Management experience.
- Workforce Forecasting/Scheduling experience required.
- Experience using Scheduling/Time Entry software required.
- Preferred experience with Dayforce or other WFM systems.
- Highly proficient with Microsoft Excel.
- Experience with Power BI is an asset.
- Knowledge of Canadian Labour Laws and CBAs is an asset.
Salary range: $68,126 – $86,861 CAD annually (commensurate with experience).
