Job Description Who you areAs the successful candidate, you will provide high-level executive support to the Chief Client Officer (CCO), the Chief Technology Officer (CTO), and their teams. Along with supporting assigned executives, this role provides cross-functional administrative support and backup coverage for other Executive Assistants during planned absences, to ensure continuity of business operations. Additionally, you will lead the sourcing and delivery of high-quality merchandise to reflect who we are as an organization, and in this capacity, ensure that there is a seamless flow of PU merchandise available.
This is a highly visible and impactful role, focused on creating meaningful experiences, serving as a trusted partner to senior leaders, and collaborating across the organization to deliver exceptional outcomes.
Responsibilities:What you will do & what you will own Executive Support:
- Provide strategic and operational support to our SLTs, ensuring key priorities are effectively managed while fostering strong cross-functional relationships.
- Act as the primary liaison for all CTO and CCO and team meetings and initiatives, overseeing coordination, communications, and follow-through.
- Ensure they are thoroughly prepared for meetings and events by anticipating needs and preparing relevant materials, briefings, and information.
- Develop a strong understanding of their business areas to proactively support team members and enable leaders to focus on strategic priorities.
- Manage ad-hoc matters and emerging issues, exercising sound judgment to resolve them independently or act on their behalf when required.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Plan and deliver team events (on-site and off-site), ensuring seamless organisation and execution.
- Own end-to-end merchandise and inventory management, including planning, sourcing, ordering, tracking, and distribution.
- Maintain accurate inventory records and forecasting to ensure stock levels align with business needs, budgets, and timelines across all business lines.
- Design, implement, and continuously enhance inventory management systems and controls to ensure accuracy, consistency, scalability, and compliance.
- Identify and drive process improvements to optimise merchandise and inventory workflows and enhance operational efficiency.
- Proactively monitor inventory-related risks, addressing supply, timing, and demand fluctuations to minimise disruption.
- Work closely with our Client Experience, Sales, Marketing, People & Culture teams, and other key stakeholders to understand business requirements and deliver merchandise solutions that support engagement, client initiatives, and organisational objectives.
- Serve as the primary liaison between internal stakeholders and external suppliers, ensuring clear communication and effective execution.
- Translate strategic priorities into clear, actionable merchandise and inventory plans, ensuring alignment with business goals.
- End-to-end coordination of internal events, such as townhalls, mid-year, year-end and other team events.
- Provide backup coverage for other EAs during vacations and peak workload periods.
What you will bring
- Minimum 3+years of experience supporting senior executives as an Executive Assistant or in a Senior Administrative Assistant role.
- Proven experience managing complex calendars, meetings, travel, and multiple projects in a fast-paced environment.
- Exceptional organizational, planning, and time management skills with strong attention to detail and the ability to manage competing priorities effectively.
- Demonstrated experience sourcing corporate merchandise and managing inventory.
- Proven experience planning and delivering corporate events, meetings, and team engagement initiatives.
- Excellent written, verbal, and interpersonal communication skills, with the ability to build strong relationships across all levels of the organization.
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and manage sensitive information with professionalism and discretion.
- Strong problem-solving, critical thinking, and project coordination skills, with the ability to anticipate needs and proactively identify solutions.
