Business Development Assistant- 12 Month Contract How does the role impact the organization?The Business Development Assistant plays a key role in supporting the day-to-day operations of a growing financial advisory practice while helping deliver an exceptional client experience. This position supports the Financial Advisor through strong administrative coordination, accurate account processing, effective workflow management, and professional client service. As operational responsibilities are mastered, the role expands to include increasing ownership of client communications, marketing initiatives, client engagement programs, and event coordination.
The ideal candidate is highly organized, proactive, accountable, and capable of managing multiple priorities with accuracy, efficiency, and attention to detail. This role offers a clear growth path from operational support to broader responsibility for client experience and marketing initiatives.
What will your role be responsible for? Administrative Support- Prepare and process account documentation, including new account openings, transfers, contributions, withdrawals, and account updates;
- Maintain and update client account records, ensuring information remains accurate, current, and complete;
- Track and follow up on submitted paperwork with head office, fund companies, and third parties to ensure timely completion;
- Support Know Your Client updates and maintain compliance documentation in accordance with established guidelines;
- Manage document collection, digital filing, scanning, and record retention processes;
- Maintain workflow systems and CRM records to ensure client activities, deadlines, and outstanding items are accurately tracked;
- Coordinate advisor calendars, schedule client meetings, prepare meeting materials, and facilitate client communications; and
- Proactively identify operational inefficiencies and contribute to process improvements that enhance team effectiveness.
- Manage the Client Engagement Profile program, including collection, analysis, and CRM integration;
- Coordinate client events, including planning, logistics, invitations, and follow-up;
- Prepare and distribute client newsletters, updates, announcements, and event communications;
- Maintain social media content, website updates, and marketing materials in accordance with compliance requirements;
- Track engagement, attendance, and response metrics and report on marketing effectiveness;
- Support client segmentation and targeted communication strategies;
- Coordinate client appreciation initiatives, milestone recognition, and welcome activities; and
- Identify and track referral and business development opportunities.

- Post-secondary education in Business Administration; and
- Experience with Dataphile is an asset.
