Payroll and benefits specialist (OR ADMINISTRATOR)

Headquartered in Montreal and Toronto, the Canadian Olympic Committee (COC) is a national, private, not‑for‑profit organization committed to high‑performance sport excellence. We are the largest private supporter of high‑performance sport in Canada and are responsible for all aspects of Canada’s involvement in the Olympic Movement, including participation in the Olympic and Pan American Games.

GENERAL PURPOSE OF THE POSITION

The Payroll and Benefits Specialist is responsible for ensuring that all employees of the Canadian Olympic Committee (COC) and the Canadian Olympic Foundation (COF) are paid accurately and on time.

Based in Toronto and reporting to the Manager, Finance and Accounting, this role oversees payroll processing, benefits and pension administration, statutory compliance reporting, and external reporting to regulatory bodies. The position also supports the accuracy of general ledger transactions and the preparation of balance sheet account reconciliations.

CORE RESPONSIBILITIES AND PRIORITIES Payroll, Employee Benefits, and Pension Administration
  • Prepare bi-weekly payroll with accuracy and attention to timeliness, approved by the Manager, Finance and Accounting.
  • Process new hires, terminations, leaves of absence, promotions, and salary adjustments.
  • Prepare and submit all payroll filings, including annual T4s and T4 Summary, Relevé 1 and all relevant statutory remittance filings.
  • Administer employee benefit programs, including health, dental, life insurance, disability, pension, and RRSP.
  • Reconcile monthly benefit invoices and ensure accurate billing.
  • Assist employees with benefit inquiries and claims-related issues.
  • Maintain records related to employee payroll, benefits, and pension plans.
  • Support annual benefits renewals and communication of plan changes.
  • Coordinate and submit pension annual reporting with FSRA.
  • Prepare and review T4A receipting for taxable athlete payments.
  • Propose and implement process improvements to streamline the flow of information regarding employee changes impacting payroll.
  • Maintain knowledge of changes to relevant payroll regulations.
  • Track payroll expenditures to budget, provide commentary on variances between actual and budget and prepare summary for reporting to the Human Resources Committee.
  • Support the annual and quadrennial payroll and benefits budgeting by providing data for financial planning and forecasting.
  • Maintain confidentiality of employee payroll and benefits information.
General Accounting
  • Prepare and record journal entries including analysis and preparation of year‑end accruals.
  • Prepare and maintain assigned payroll balance sheet account reconciliations
  • Adhere to month‑end close deadlines and participate in month‑end discussions
  • Track expenses and preparing billing request for third party organization
  • Support internal and external audits by providing payroll and benefits documentation.
QUALIFICATIONS AND CRITICAL SKILLS

Education and Experience
  • Have a Payroll Compliance Professional (PCP) or Payroll Leadership Professional (PLP) designation.
  • 3–5 years of progressive payroll and benefits administration experience.
  • Experience processing payroll for medium to large organizations.
  • Experience with payroll systems such as Ceridian, ADP, Workday, SAP etc.
  • Strong knowledge of Canadian payroll legislation and employment standards.
  • Knowledge of payroll accounting and general ledger reconciliations.
  • Advanced proficiency in Microsoft Excel, including pivot table, VLOOKUP/XLOOKUP.
