Role Summary
The Payroll & Benefits Specialist will be responsible for performing complex tasks related to the processing of a bi-weekly payroll for all employees across Canada and the administration of all benefit plans including, but not limited to, Health, Dental, Disability, Employee Assistance, Canada Savings Bonds, Pension, and RRSP. The specialist will operate as the subject‑matter expert regarding benefits administration and current payroll best practices, bringing forth recommendations for process improvements and creating efficiencies.
The individual will also be responsible for managing the Time and Attendance system.
- Process payroll for union and non‑union employees across hourly, salaried, and commissioned categories.
- Investigate and resolve complex pay and system issues as they arise.
- Prepare and submit records of employment.
- Collaborate with cross‑functional departments to ensure employee records, vacation accruals, etc., are accurate and up to date.
- Conduct the quarterly vacation accrual and reconciliation process.
- Process executive benefits such as share options, car taxable, directors’ fees for Canadian and out‑of‑country executives and directors.
- Coordinate, administer, and execute all benefits‑related activities.
- Coordinate annual benefits renewal and re‑enrollment processes.
- Administer the Pension and RRSP Plan.
- Manage the monthly budget accrual process for the Payroll Benefits Budget.
- Maintain the HRIS by entering employee personal and employment information.
- Set up and maintain employee records in Time & Attendance.
- Set up and maintain schedules, holiday programs, and benefit accruals in Time & Attendance.
- Manage Time & Attendance reporting, hours import to payroll, and timecard exceptions.
- Conduct training on the Time & Attendance system for new employees and serve as the subject‑matter expert.
- Reconcile and remit third‑party remittances such as WSIB, union dues, pension/RRSP, and benefit premiums.
- Maintain a process throughout the year to ensure smooth year‑end filing.
- Maintain detailed records and documentation in accordance with statutory requirements.
- Perform routine audits on payroll, benefits, and time and attendance output to ensure compliance and accuracy.
- Respond to and effectively resolve employee inquiries in a timely manner.
- Prepare communications and letters to employees regarding payroll and benefits matters.
- Continuously keep abreast of payroll & benefits best practices.
- Lead projects as assigned by the Senior Manager, Payroll & Benefits.
- Degree or diploma in a related field or equivalent experience.
- CPA certification is an asset.
- 5+ years’ experience in payroll and benefits, using ADP/Pay@Work and EZ Labour.
- Solid background working with pay and time & attendance systems.
- Solid understanding of year‑end processes.
- Working knowledge of employment standards across provinces.
- Intermediate to advanced Excel skill.
- Strong report‑writing ability.
- Strong capability navigating within information systems.
- Problem‑solving skills and ability to recommend solutions.
- Strong organizational skills.
- Action orientation and sense of urgency.
- Ability to handle multiple tasks effectively and in a timely manner.
- Strong written and verbal communication skills.
- Strong customer focus.

Our ranges reflect the expected compensation at the time of posting. The final offer may vary and can be higher based on relevant skills, experience, location, and market conditions. Based on the role, the total rewards package may also include benefits, bonus, and other employee offerings.
Base salary range: $70,000—$75,000 CAD
