Position: COORDINATOR BUSINESS SUPPORT

The Coordinator, Business Support reports to the Senior Manager, Strategic Planning and Initiatives. This role provides strategic and operational support to the Small Business Office and the Business Improvement Areas (BIA) Office by coordinating projects, initiatives, and business processes. The Coordinator supports divisional priorities through research, analysis, stakeholder engagement, budget coordination, report preparation, and the implementation of operational and corporate initiatives.

Responsibilities
  • Develop and implement detailed plans, recommending policies and procedures regarding program specific requirements.
  • Conduct research in assigned areas, considering developments within the field, corporate policy, legislation, and initiatives by other levels of government.
  • Oversee, coordinate, and participate in the development and implementation of Sectional and Corporate initiatives and assigned projects, ensuring effective teamwork, communication, high standards of work quality, and continuous learning; prepare reports as required.
  • Handle confidential and sensitive information affecting organizations, staffing levels, assets, resources and finances related to Section-wide processes, functional policies, programs and strategies; liaise with senior management and Section staff in coordinating responses and resolution of Section-wide issues; participate in the resolution of issues escalated to the Senior Manager/Director/Manager.
  • Participate in the preparation and monitoring of the Section's annual budget; develop business cases as required.
  • Monitor transactional financial requests requiring the Senior Manager's authorization, resolve issues, and make recommendations for changes; act as a Section liaison for information and problem resolution.
  • Act as a Section contact and coordinate Sectional responses to Corporate, Service Area or divisional requests for information or action; make recommendations to the Director/Manager to support change management strategies to improve the Section's overall strategic and operating performance in the Division.
  • Represent the Section on Divisional, Service Area or Corporate teams for Toronto Public Services, labour disruption planning, pandemic planning, emergency planning, 311, elections, etc.
  • Review all requests requiring the Director's/Manager's signature for accuracy, completeness of information, financial requirements and authorities; monitor and ensure compliance with requirements and processes.
  • Participate in the development and/or implementation of organizational change initiatives, including sitting on working tables, preparing required documentation and reviewing and strategizing for financial requirements.
  • Prepare and coordinate the development of reports, briefings and other support materials (including presentation decks); review all Section reports to Council and Committees to identify operational issues and budget implications.
  • Coordinate with the Division Head's Office to monitor relevant agendas for reports of interest to divisional operations; maintain records of outstanding reports, planning documents and strategic reports; prepare briefing notes and presentations for the Director/Manager.
  • Undertake initiatives to develop, maintain and implement processes and mechanisms to strengthen the Section's internal control, oversight and compliance; make recommendations to senior management.
  • Develop and maintain tracking mechanisms and systems to monitor policies, standards and procedures.
  • Ensure the Director/Manager is informed of ongoing status, issues and opportunities.
  • Maintain a thorough and continuous knowledge of City and divisional policies, initiatives and operational issues.
  • Represent the Section/Division on key divisional, corporate and external teams and initiatives; maintain effective working relationships with senior management, politicians, divisional and other City staff, and external organisations.
  • Handle inquiries, issues and challenges from staff, members of Council, the public and media on behalf of the Senior Manager or direct them to appropriate sources.
