Position: Hillsong Kids Operations Coordinator

We're looking for a part-time Hillsong Kids Operations Coordinator (24 hours per week) to provide operational leadership and administrative oversight for Hillsong Kids at our Toronto Campus.

This is a highly organised and people-focused role responsible for coordinating volunteers, systems and ministry operations to ensure Hillsong Kids runs with excellence each week. You'll work closely with the Campus Pastor and Hillsong Kids leaders to strengthen ministry operations, support volunteers, improve systems and create safe, welcoming environments where children can encounter Jesus and flourish.

If your application is successful, your main responsibilities will include, but are not limited to:

Ministry Operations
  • Coordinate the day-to-day operations of Hillsong Kids and ensure ministry environments are prepared each week.
  • Support the implementation of the vision and priorities for Hillsong Kids.
  • Coordinate service logistics, room setup and operational requirements.
  • Identify opportunities to improve ministry systems, processes and volunteer experience.
  • Act as the primary communication link between the Campus Pastor and Hillsong Kids volunteers.
  • Help create safe, welcoming and engaging environments for children and families.
Volunteer Coordination, Health & Growth
  • Onboard and equip new volunteers, ensuring all onboarding and child safety requirements are completed.
  • Coordinate volunteer scheduling through Planning Center.
  • Support Age Group Leaders with communication, resources and ongoing development.
  • Coordinate volunteer training, appreciation events and leadership gatherings.
  • Build a healthy, encouraging and collaborative volunteer culture.
  • Monitor overall health and care of team members
  • Plan and implement events and initiatives to cultivate a sense of community and ensure team health and development.
Administration & Systems
  • Maintain accurate ministry records, rosters and attendance information.
  • Coordinate weekly service plans, lesson resources and ministry documentation.
  • Manage communication with volunteers and parents regarding ministry updates, events and schedules.
  • Support ordering of curriculum, equipment and ministry supplies.
  • Ensure ministry systems and administrative processes are consistently followed.
Safety, Reporting & Stewardship
  • Champion Safe Church practices and maintain compliance documentation.
  • Coordinate incident reporting and ensure ministry environments meet safety expectations.
  • Prepare ministry reports and monitor attendance, volunteer engagement and key operational metrics.
  • Steward the approved ministry budget and reconcile expenses in line with church policies.
  • Identify operational trends and opportunities to strengthen the ministry.
Services & Events
  • Ensure Kids environments are fully prepared before every service.
  • Support Sunday operations and troubleshoot ministry needs as they arise.
  • Coordinate logistics for family events, volunteer gatherings and seasonal initiatives.
  • Assist with annual planning and age-group transitions.
  • Collaborate with campus ministries to deliver a seamless Sunday experience.
Ideally, a successful candidate will have:
Education & Experience
  • Certificate, diploma or post-secondary education in ministry, leadership, education, child and youth work, early childhood education or a related field is an asset.
  • Experience coordinating volunteers, teams, projects or ministry environments.
  • Previous experience serving or leading within Children's Ministry is preferred.
  • Strong organisational, administrative and time management skills.
  • Excellent interpersonal and written communication skills.
  • Ability to work independently while collaborating effectively within a team.
  • Holds (or is willing to obtain) a current Vulnerable Sector Check.
