Radiant Sole is a premium hydronic heating contractor based in Toronto, Ontario, specializing in:

  • Service and maintenance programs

We primarily serve the high‑end custom residential market and are focused on building scalable systems, strong operational processes, and delivering an exceptional client experience.

As part of our continued growth, we are seeking a Sales Operations & Administration Coordinator to support our sales team and help build a more structured, efficient, and scalable sales function.

Position Overview

Job Title: Sales Operations & Administration Coordinator
Reports To: Sales Leadership & General Manager
Location: Office‑Based (Remote Considered)
Employment Type: Full‑Time

Role Purpose

The Sales Operations & Administration Coordinator is responsible for supporting the sales team through CRM management, proposal coordination, reporting, workflow management, and client communication support.

This is not a direct sales or cold‑calling role. Instead, the focus is on creating structure, consistency, and visibility within the sales process while reducing the administrative burden on the sales team.

Key Objectives
  • Improve consistency and accountability throughout the sales process
  • Enhance CRM accuracy, visibility, and adoption
  • Increase proposal turnaround speed and efficiency
  • Ensure timely and consistent client follow‑up
  • Reduce administrative workload for sales staff
  • Improve reporting and forecasting capabilities
  • Build scalable systems, processes, and workflows
Core Responsibilities CRM & Pipeline Management
  • Maintain and manage the Pipedrive CRM platform
  • Create, update, and manage leads, opportunities, and contacts
  • Ensure pipeline information remains accurate and current
  • Monitor opportunity progression through each sales stage
  • Track sales activities, tasks, and follow‑up requirements
  • Maintain CRM data integrity and consistency
  • Generate sales pipeline reports, dashboards, and forecasting data
Proposal & Estimating Support
  • Prepare proposal documents, presentations, and templates
  • Coordinate proposal revisions and updates
  • Gather information required for estimating and quoting

    Assist with quantity take‑offs and project information collection
  • Maintain proposal libraries and template databases
  • Track proposal status from issuance through approval
Client Follow‑Up & Coordination
  • Schedule and manage follow‑up activities
  • Monitor outstanding proposals and sales opportunities
  • Support client communications and correspondence
  • Coordinate meetings, site visits, and appointments
  • Ensure follow‑up actions are completed on time
  • Help maintain a responsive and professional client experience
Sales Administration
  • Support day‑to‑day sales administration activities
  • Maintain project and sales documentation
  • Organize electronic files and records
  • Assist with sales reporting and performance tracking
  • Prepare meeting agendas, notes, and action items
  • Support client onboarding processes
  • Assist with the transition of projects from sales to operations
Process Improvement & Systems Development
  • Assist in documenting sales processes and SOPs
  • Improve CRM utilization, consistency, and reporting
  • Identify workflow inefficiencies and automation opportunities
  • Support implementation of sales tools and software platforms
  • Assist with integrations between CRM and operational systems
Client Experience Support
  • Maintain and support the client database
  • Assist with ongoing client communications
  • Support referral and relationship‑building initiatives
  • Contribute to improving overall client engagement and experience
Qualifications & Experience Required
  • Excellent written and verbal communication skills
  • Strong organizational and administrative abilities
  • CRM experience (Pipedrive preferred)
  • Proficiency with Microsoft 365
  • Exceptional attention to detail
