Position: Sales Administrator (Hybrid)

At Broadridge, we empower others to accomplish more. Join our Sales team as a Sales Administrator responsible for supporting daily administrative activities and ensuring accurate sales documentation.

Responsibilities
  • Manage internal SOX approval process for sales proposals and contracts.
  • Proofread and edit sales documents and contract approval sheets.
  • Collect, file, and distribute signed contract proposals to required departments.
  • Prepare service order checklists and attach them to proposals for internal distribution.
  • Provide finance with signed contract proposals for month‑end sales reports.
  • Track outgoing and receipt of contracts through the Sales Tracking Log.
  • Assist in preparing sales presentations and other sales materials.
  • Maintain and update sales contact lists for Corporate Issuer and Asset Management clients, updating quarterly.
  • Prepare and complete the annual mail merge of proxy proposal templates for the top 650 Corporate Issuers list.
  • Schedule bi‑weekly Sales/Operations meetings for Proxy and distribute updated reports.
  • Manage expense processing, travel booking and monitor T&E policy adherence for both sales teams.
  • Coordinate with internal departments (IT, Facilities, etc.) and update reports in Salesforce.
  • Assist sales executives with senior executive profile summary reports and client informational packages.
  • Coordinate logistics for client events, information sessions, and marketing materials.
  • Support special projects such as Salesforce cleanup, campaign management, and proxy information packages.
  • Perform other duties assigned by senior management.
Qualifications
  • 1–2 years experience supporting dynamic sales teams in a fast‑paced environment.
  • Strong written and verbal communication skills with proofreading and editing abilities.
  • Excellent organizational and time‑management skills with the ability to manage multiple priorities.
  • Strong attention to detail and accuracy in document preparation and record maintenance.
  • Proactive problem‑solving skills and adaptability to changing priorities.
  • Comfortable working independently while collaborating effectively with sales teams and internal stakeholders.
  • Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Teams) and CRM systems such as Salesforce.
  • Advanced word‑processing skills and ability to use AI‑powered tools responsibly while maintaining confidentiality.
Compensation & Benefits
  • Salary Range: $50,000 – $55,000 CAD.
  • Base pay is part of a total package that may include discretionary bonuses and restricted stock units.
