We are seeking an organized, proactive and detail-oriented Administrative and HR Assistant to support Team WBS. You will play a key role in supporting daily operations, staff coordination, and human resources functions. Essential

Job Responsibilities Scheduling
  • Develop, update, and manage staff schedules on a daily, weekly, and monthly basis.
  • Coordinate coverage for cancellations, call-outs, and schedule adjustments.
  • Communicate promptly and professionally with staff and clients regarding schedule changes.
  • Ensure accuracy in billing codes and service documentation.
  • Schedule and organize staff trainings and meetings.
  • Support operational workflow to ensure uninterrupted client services.
Administrative Support
  • Coordinate communication between staff, management, and clients via Microsoft Teams, email, and Whats App.
  • Enter and update insurance authorizations, billing codes, and related records.
  • Maintain organized digital and physical files in compliance with HIPAA, labor laws, and company policies.
  • Manage and order office and field inventory.
  • Print and prepare client data sheets and materials.
Human Resources Support
  • Assist with recruitment, interview scheduling, onboarding, and employee file management.
  • Process and verify accurate bi-weekly payroll through ADP Run.
  • Track and manage employee PTO (sick leave and vacation requests).
  • Maintain objective employee performance data using Microsoft Excel.
  • Ensure HR documentation is compliant, organized, and confidential.
Essential Qualifications
  • Minimum of 1 year of experience in administrative and/or HR support (ABA, healthcare, or human services experience preferred)
  • Bachelor's degree in Business Administration, HR, or related field (or equivalent experience)
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, SharePoint, Teams)
  • Strong computer literacy
