Job Overview

Responsibilities

You’re the glue that keeps everything moving smoothly—orders, communication, shipments, and all the details in between. You'll make sure client orders are processed on time, accurately documented, and that everyone stays informed along the way.

  • Schedule appointments with custodians of records
  • Digitize documents and enter them into our system
  • Keep our database spotless with real-time updates
  • Sort and process mail
  • Answer calls from clients and custodians with professionalism and care
  • Create detailed status updates through data entry
  • Prep records for shipment
  • Coordinate with other departments to solve issues and keep clients happy
  • Ensure every order is processed, tracked, and documented accurately
  • Retrieve mail from our PO Box
  • Pitch in on special projects and other tasks as needed
Qualifications
  • Top-notch customer service and communication skills
  • Organized, focused, and detail-oriented mindset
  • Able to juggle multiple tasks and stay on top of priorities
  • Friendly, outgoing, and proactive attitude
  • Comfortable in a fast-paced environment
  • Respect for confidentiality and sensitive information
  • Reliable and punctual—you show up and get it done
  • Solid skills in Microsoft Word, Excel, PowerPoint, and email
  • Comfortable using internet software and digital tools
  • Bonus points if you’ve worked in a Windows-based system before
