We are seeking a highly organized, proactive, and detail-oriented Administrative Professional to provide advanced administrative and operational support to a Project Director leading a large-scale, complex event. This role operates in a fast-paced, high-visibility environment and requires strong judgment, discretion, and the ability to manage competing priorities with minimal supervision. The ideal candidate is a trusted partner who can anticipate needs, streamline operations, and ensure seamless coordination across internal teams and external stakeholders.
WhatAre You Going To Do?
Executive & Project Support
- Provide high-level administrative support to the Project Director, including managing complex calendars, prioritizing commitments, and ensuring alignment with strategic priorities
- Act as a liaison between the Project Director and internal/external stakeholders, managing communications with professionalism and discretion
- Prepare, edit, and format presentations, reports, briefings, and correspondence for executive-level audiences
- Track key deliverables, deadlines, and action items across multiple work streams, ensuring timely follow-up
Meeting & Event Coordination
- Plan and coordinate meetings, workshops, and large-scale project sessions, including logistics, agendas, materials, and minutes
- Support coordination of multi-functional meetings across different time zones and stakeholder groups
- Assist in organizing internal events, leadership sessions, and operational reviews
Operational & Administrative Management
- Manage travel arrangements, expense reporting, and procurement activities in accordance with company policies
- Maintain organized filing systems, project documentation, and records (digital and physical)
- Support onboarding logistics for new team members and consultants
- Monitor and order office and project-related supplies as needed
Project Coordination Support
- Assist with tracking budgets, invoices, and vendor coordination activities
- Compile data, analyze information, and generate reports to support decision-making
- Support cross-functional coordination by ensuring information flow and alignment across teams
- Contribute to process improvements, helping to streamline administrative and operational workflows
Confidentiality & Communication
- Handle sensitive and confidential information with a high degree of professionalism
- Draft and manage communications on behalf of the Project Director
- Screen and prioritize incoming requests, inquiries, and issues
Education & Qualifications
- 3–5+ years of administrative experience supporting senior leaders or complex projects
- Experience in a fast-paced, high-volume, or large-scale program environment preferred
- Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and collaboration tools
- Strong organizational, time management, and prioritization skills
- Excellent written and verbal communication skills
- Ability to work independently, exercise sound judgment, and manage multiple priorities simultaneously
- High level of discretion and professionalism
