The Customer Service Representative (CSR) – Data Entry is responsible for supporting daily warehouse operations through accurate documentation, timely communication, and professional customer support. This role focuses heavily on data entry, issue follow-up, and maintaining organized records to ensure smooth operational flow between warehouse teams, customers, and vendors.
Key ResponsibilitiesDocumentation & Data Entry
- Prepare, update, and maintain shipment documents, logs, and reports.
- Enter data accurately into internal systems and verify information for completeness.
- Ensure all documentation is organized and completed within required timelines.
Customer & Internal Communication
- Communicate professionally with customers, warehouse staff, drivers, and vendors.
- Respond to emails and requests in a timely, clear, and organized manner.
- Relay important updates or changes to the appropriate departments.
- Track and follow up on operational or customer-related issues until resolved.
- Escalate concerns when needed and document outcomes.
- Provide end-of-shift updates or handoff notes to support continuity across shifts.
Reporting & Record Management
- Assist with generating daily/weekly/monthly operational reports.
- Maintain organized electronic and physical records.
- Review documents for accuracy and completeness.
- Coordinate with the CSR team on both shifts to ensure smooth handoffs.
- Maintain consistency in documentation and communication practices across shifts.
- Support workload balance and shared team responsibilities.
- Maintain focus and professionalism during the entire shift.
- Follow company policies regarding communication, confidentiality, and workplace behavior.
- Uphold accuracy and attention to detail in all tasks performed.
Skills & Qualifications
- High school diploma or equivalent required.
- Experience in customer service, data entry, logistics, or administrative roles preferred.
- Strong attention to detail and accuracy in documentation.
- Clear written and verbal communication skills.
- Ability to multitask and work in a fast-paced warehouse office environment.
- Proficiency with basic computer applications (Excel, email, shared drive folders, etc.).
- Office role located inside a warehouse environment.
- Frequent interaction with warehouse staff, drivers, and management.
- Must be able to work assigned shift and occasional overtime as needed.
