We are seeking a dynamic and highly organized Legal Receptionist to join our legal team. This vital role serves as the first point of contact for clients, visitors, and staff, ensuring a professional and welcoming environment. The ideal candidate will possess excellent communication skills, strong office management abilities, and a proactive attitude to support the smooth operation of our legal office.

Responsibilities
- Greet clients, visitors, and staff with professionalism and courtesy, providing a positive first impression.
- Answer multi-line phone systems promptly, using proper phone etiquette to direct calls efficiently.
- Manage front desk operations, including scheduling appointments.
- Handle all clerical tasks such as data entry, filing, proofreading, and document preparation using Word processing tools.
- Maintain organized records of client files, legal documents, and correspondence in both physical and digital formats.
- Support office management duties including calendar management.
- Assist with client communication via email and phone support, ensuring timely follow-up and excellent customer service.
- Handle incoming/outgoing mail, faxes and courier deliveries.
- Open and organize new client files.
- Maintain client confidentiality.
Skills
- Bilingual (English/Spanish) proficiency is highly preferred to serve diverse client needs effectively.
- Strong organizational skills.
- Excellent phone reception skills with multi-line phone systems and a solid understanding of phone etiquette.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Demonstrated computer literacy with experience in data entry, filing systems, and document proofreading.
- Prior clerical or administrative experience within a legal or professional setting preferred.
- Strong time management skills to prioritize tasks efficiently in a fast-paced environment.
- Experience with client communication, customer support, and personal assistant responsibilities.
