Role OverviewThe Sales Administrator - Security provides operational and customer support to the sales organization, serving as a key liaison between sales representatives, customers, sales leadership, and internal support teams. Success in this role means keeping information accurate, helping resolve billing and booking issues quickly, and contributing to a smoother customer experience from quote through resolution.
Key ResponsibilitiesReview past-due accounts weekly with the Sales Manager and/or Northeast team and help drive timely follow-up.
Contact customers by phone, Teams, or email as needed to support resolution of past-due invoices and related account issues.
Partner with sales representatives when customer accounts are past due or placed on credit hold.
Support customers with billing and contract-related issues and help move issues toward resolution.
Provide booking assistance to sales representatives and help move opportunities through internal processes efficiently.
Monitor Compass daily for estimates in PRI and support representatives with Compass/PRI-related needs.
Work with the Booking Team/COM and other internal partners to resolve PRI estimate issues that may delay booking.
Assist the sales team with internal workflows, including 408, 2172, HUB, legal cases, and other applicable processes.
Support cooperative purchasing contracts, including NASPO and Sourcewell.
Attend backlog meetings with sales managers and installation managers and/or coordinators.
Support data correction requests involving SLAs, hourly rates, affiliation codes, and similar account details.
Act as a liaison between sellers and the CAST/CARE team to help ensure customer issues are addressed and resolved.
Create Salesforce cases for legal review when required.
Maintain clear, timely communication with sales representatives, customers, leadership, and internal support teams regarding status, next steps, and resolution.
Take ownership of follow-through and accuracyso invoices, bookings, estimates, and account records are handled with integrity and care.
Stay close to the workby prioritizing urgent AR, booking, and case issues that could delay revenue, customer response, or internal processing.
Use clear and timely communication with sales, operations, finance, and customer contacts to keep everyone aligned on status and next steps.
Work as one teamby partnering openly with Booking Team/COM, CAST/CARE, legal, and field or installation support to remove blockers for customers and sellers.
Look for root causes and improvement opportunitieswhen issues repeat, then help drive better process outcomes through candor and practical problem-solving.
Support a compliant, customer-focused processby managing sensitive account data carefully and following internal workflows consistently.
Previous experience in sales administration, sales support, customer support, or a similar operational coordination role.
Experience supporting accounts receivable, invoice follow-up, billing questions, or contract-related customer issues.
Familiarity with Salesforce or similar CRM platforms.
Experience with Compass, PRI-related estimate support, or comparable booking and quoting workflows.
Strong organizational skills and attention to detail.
Excellent interpersonal and communication skills, including professional phone and email communication.
Ability to prioritize multiple requests, manage deadlines, and work effectively in a fast-paced environment.
Comfort working cross-functionally with sales, finance, operations, legal, and customer support teams.
Experience supporting security, fire, life safety, or related service and installation businesses.
Knowledge of cooperative purchasing contracts such as NASPO and Sourcewell.
Experience with Salesforce case creation for legal review or other internal support workflows.
Exposure to backlog meetings, installation coordination, or sales operations reporting.
Experience working with multiple customer stakeholder groups and internal escalation paths.
