Job Requirements
The Clinic Coordinator provides high-level administrative support in a clinical setting. The Clinic Coordinator is responsible for scheduling and maintaining the calendar for clinical heads of one or more designated departments, preparing correspondence, and coordinating the day-to-day operations of the department. In the absence of a dedicated surgical scheduler, the Clinic Coordinator assumes that role.
- Maintains Calendar and
Schedule:
Arranges meetings, provides notification to participants, prepares and distributes agendas and minutes, serves as recording secretary, reserves rooms, maintains membership lists and records, and handles travel arrangements. - Prepares Correspondence for Department Clinical Head: Drafts letters, reports, manuscripts, statistical data, and memoranda; prioritizes deadlines; maintains a manuscript list; develops reports and programs; assists with special projects and agency correspondence.
- Provides Front Desk Support: Receives visitors and callers, determines needs, prioritizes urgency, takes accurate messages, reviews, sorts, and distributes mail, and maintains an organized, confidential filing system.
- Responsible for Day-to-Day Operation of the Office: Maintains supplies and equipment, exercises initiative and judgment, supervises office support staff with feedback and performance reviews, acts as liaison to Executive Council, directors, employees, and others.
- Surgical Scheduling: Contacts patients to schedule surgeries, schedules pre‑surgical tests, follows up the day before surgery, and schedules post‑surgical appointments using McKesson or other software.
- Tracks Time and Expenses: Tracks expenses for the clinical head and external funding sources, maintains time logs, generates bills to outside entities, processes check requests, and reconciles monthly expenses.
- 2–4 years administrative/clerical support for mid‑ to upper‑level management, preferably in a healthcare setting (Required)
- 2–4 years proven ability to use independent judgment and function autonomously (Required)
- 2–4 years working knowledge of medical terminology (Preferred)
- 2 year / Associate's Degree (Preferred)
- Combination of relevant education and experience may be considered in lieu of a degree.
- Non‑Degree Program (Preferred)
- Vocational / Technical Degree (Preferred)
- Not Applicable – No Certification and Licensure Requirements required or preferred
