Key Responsibilities
  • Manage the Managing Partner's calendar, appointments, and scheduling priorities
  • Coordinate meetings, travel arrangements, and special events
  • Screen and prioritize phone calls, emails, and correspondence
  • Prepare meeting materials and confidential documents
  • Assist with personal scheduling and administrative responsibilities as needed
  • Coordinate meetings with clients, business partners, and internal team members
  • Handle confidential and sensitive information with the highest level of professionalism
  • Anticipate needs and proactively resolve scheduling or administrative challenges
  • Support special projects and strategic initiatives as assigned
Client Experience & Reception Support
  • Serve as the primary backup to the Client Experience during absences, breaks, and high-volume periods
  • Welcome clients and visitors with professionalism, warmth, and enthusiasm
  • Answer and direct incoming phone calls
  • Prepare conference rooms for client meetings
  • Ensure guests receive an exceptional experience from arrival through departure
  • Assist with scheduling client appointments and maintaining calendars when needed
Office Administration
  • Assist with office operations and administrative projectslet
  • Coordinate vendors, deliveries, and office supplies
  • Maintain organized electronic and physical files
  • Assist with event planning, seminars, and client appreciation events
  • Identify opportunities to improve office efficiency and administrative processes
Qualifications Preferred
  • Three or more years of experience supporting executives, business owners, or senior leadership
  • Experience as a Personal Assistant or Administrative Professional
  • Exceptional organizational and time management skills
  • Outstanding written and verbal communication abilities
  • Ability to manage multiple priorities with professionalism and accuracy
  • High level of discretion and confidentiality
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, and Teams)
Additional Experience Valued
  • Experience supporting executives in financial services or another professional services environment
  • Experience using Salesforce or other CRM platforms
  • Event planning or project coordination experience
  • Technology savvy with the ability to quickly learn new systems
