Health Information Coordinator (HIC) supports our practice by ensuring patient charts and medical records are complete, accurate, and ready for clinical review. This role manages medical records, external referrals, patient correspondence, and other non‑clinical administrative tasks to support smooth clinic operations and compliance with HIPAA and regulatory standards.
PrimaryDuties & Responsibilities
- Receive, process, and fulfill medical records requests for patients in accordance with organizational policy, regulatory requirements, and documentation standards.
- Prepare and maintain new and existing patient charts by building new patient charts, obtaining and organizing outside medical records, and ensuring charts are complete and ready for clinical review prior to patient visits.
- Manage and monitor the fax queue, ensuring documentation is reviewed and filed appropriately within the electronic medical record.
- Track and maintain external referrals, including receipt of required documentation and follow‑up as needed to support continuity of care.
- Generate and send patient correspondence, including standardized letters related to laboratory results and other physician‑directed communications, in accordance with established workflows.
- Maintain the integrity of patient demographic and clinical information by reviewing records for completeness and entering or updating required data in the electronic medical record system.
- Provide front desk check‑in and check‑out support on an as‑needed basis to ensure continuity of operations.
- Ensure compliance with HIPAA and organizational privacy standards when handling patient information and medical records.
- Collaborate with clinical and administrative team members to support efficient workflows and high‑quality patient care.

Qualifications Education & Experience- High school diploma or equivalent required;
Associate’s degree in Health Information Management, Medical Office Administration, or related field preferred. - Minimum 2 years of experience in medical records, health information management, or clinical administrative support.
- Oncology or urology experience preferred.
- Experience with electronic medical records (EMR/EHR) systems required.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast‑paced oncology environment.
- Excellent written and verbal communication skills.
- Knowledge of HIPAA regulations and medical record confidentiality standards.
- Comfortable handling sensitive patient information with discretion and professionalism.
- Proficiency with standard office software (e.g., Microsoft Office Suite).
- Collaborative and team‑oriented mindset.
- Office‑based role with prolonged periods of sitting and computer use.
- Occasionally lift or move up to 20 pounds (e.g., patient files, records).
- Regular use of hands for typing, scanning, and filing.
- Communicate clearly in person and by phone.
- Visual and auditory ability to review documents and electronic medical records.

Job Type: Full‑Time
Pay Range: $20.00 – $22.00 per hour. Actual compensation offered to candidates is based on work experience, education, skill level, and geographic location. Compensation may vary depending on the state or region in which the position is located, in accordance with applicable laws. This position has no close date.
