Accounts Payable Specialist – Construction

The Opportunity

This is a great fit for an experienced Accounts Payable professional with a background in construction or real estate. You’ll take ownership of vendor payments, contract tracking, and project-level cost reporting, ensuring timely and accurate accounting across multiple developments.

This position sits in the company’s Northern New Jersey headquarters, offering a hands-on role in a collaborative environment, with exposure to senior leadership and operational teams.

What You’ll Be Doing

• Review, code, and process vendor invoices and employee reimbursements in line with company policies
• Allocate expenses accurately to contracts and project budgets
• Track contract change orders and update cost analyses as projects evolve

Project & Contract Costing

• Run job cost reports monthly for active development projects
• Record intercompany transactions and allocate appropriately to each project
• Collaborate with construction teams to ensure invoice flow aligns with project milestones

Systems & Reporting

• Monitor invoice status via project management software (e.g., Procore)
• Prepare monthly reports detailing AP activity and cost allocations
• Assist in processing monthly legal and consulting payments via systems like Bill4
  
  Time
• Reconcile vendor accounts and resolve discrepancies
• Maintain up-to-date certificates of insurance (COIs) for commercial tenants
• Act as a backup for check processing and communicate ACH payments to senior finance staff

The Ideal Candidate Has:

• HS diploma or GED required;
  Associate’s degree preferred
• 10+ years of accounts payable experience, in construction or development
• Hands-on experience with AP and project management systems
• High attention to detail and a proactive, team-oriented approach
• Strong communication skills and the ability to multitask in a fast-paced setting
• Competitive salary ($75k–$85k, depending on experience)
