DescriptionJob Summary: Responsible for the coordination of training programs sponsored by the Human Resources department, as well as the facilitation of the new hire orientation program, and other support functions for the department.
Essential Functions- Coordinate, host, and facilitate the agency’s new hire orientation program.
- Produce and distribute training reports as required by the program personnel and for employee personnel files; and maintain employee files and manage filing.
- Create agency surveys through Survey Monkey; filter and share responses as requested.
- Coordination of agency sponsored trainings (in-house and outsourced), such as Cultural Competency, Ethics, Management trainings, various Clinical and wellness workshops, etc.; and ensure CEU availability for clinical course offerings.
- Collaborate with schools, community partners, and other presenters to map out training schedules, and market training opportunities to employees and provide necessary information.
- Gather staff and trainers’ feedback, received through training and orientation evaluations and surveys, with the Sr. Employee Relations and Engagement Officer to help assess agency’s training needs and to ensure the effectiveness of the programs. Assist in researching new training opportunities and set up Zoom meetings as needed.
- Coordination of Virtus trainings and Relias. Perform account set ups and maintain updated curriculum and training records.
- Follow through on any missing training and orientation documentation to ensure compliance.
- Facilitate the onboarding process for interns and volunteers.
- Assist in participating in career fairs as needed.
- Manage the agency performance evaluation process.
- Assist with employee relations matters and Employee Appreciation Committee initiatives as needed.
- Assist with employment verifications as needed.
- Run and distribute system reports.
- Provide support during personnel audits.
- Assist with background checks as needed.
- Create Welcome Packets.
- Administer monthly Flex spending Account checks and reconciliation on a monthly basis.
- Quarterly tracking of volunteers’ hours and annual hours.
- Other related duties as needed.
Minimum Qualifications: Bachelor’s degree in a related field preferred. Associates + 4 years of related experience handling HR functions, event coordination, and prior training/orientation exp.
Knowledge: Proficient in Microsoft Products. Experience in E-learning preferred. Applicant Tracking Systems (ATS), HR Information Systems (HRIS), and other Relevant HR Software. Experience in maintaining training databases and HRIS.
Skills: Strong interpersonal skills, with the ability to build rapport and establish trust. Service oriented with strong follow-up, organizational, research and analytical skills. Excellent communication skills to effectively interact with employees, management, and external vendors. Excellent time management skills and ability to manage multiple tasks.
Abilities: Ability to prioritize effectively and meet deadlines. Ability to maintain strict confidentiality. Able to effectively manage complex schedules, paperwork, and multi-step processes and follow-up skills.
