Annual Giving & Special Projects Coordinator

The Annual Giving & Special Projects Coordinator position supports the university’s annual giving program through donor stewardship, gift pipeline coordination, and appeals strategy, while also planning and executing special events that strengthen fundraising and donor engagement. This position plays a key role in advancing the office’s vision to enhance alumni engagement with the university, deans, and faculty, and serves as a consistent point of connection between alumni, academic leadership, and the broader campus community.

Essential Duties and Responsibilities
  • Coordinate the annual giving gift pipeline, tracking prospects and donors through each stage of the solicitation and stewardship cycle
  • Support the development and execution of annual giving appeals strategy, including direct mail, email, crowdfunding, and digital campaigns
  • Draft and coordinate donor communications, acknowledgment letters, and stewardship materials
  • Monitor annual giving metrics and prepare regular progress reports for office leadership
  • Partner with the advancement services team to ensure accurate gift processing, data integrity, and donor records
  • Plan, coordinate, and execute special events related to fundraising and donor engagement, including donor recognition events, giving day campaigns, and alumni engagement events
  • Manage event logistics, including venue coordination, vendor relationships, budgets, invitations, and day-of execution
  • Collaborate with academic deans, faculty, and campus partners to plan events that connect alumni with the university’s academic mission
  • Evaluate event outcomes and donor engagement impact, recommending improvements for future initiatives
  • Develop and maintain strong working relationships with deans, faculty, and academic departments to identify engagement and giving opportunities
  • Serve as a liaison between the annual giving program and academic units to align fundraising priorities with institutional goals
  • Support broader advancement office initiatives and special projects as assigned
Minimum Qualifications
  • Bachelor’s degree in a related field
  • Minimum of one to three years of experience in fundraising, donor relations, events, or customer services fields
  • Excellent written and verbal communication skills
  • Strong organizational skills and an ability to prioritize
  • Ability to interact with a wide variety of constituents
  • Excellent computer skills
Will this position require driving (personal vehicle, university vehicle, utility vehicle, or golf cart) in order to perform the job duties?

Driving may be necessary but is not a primary responsibility.
