Position Overview
Our client in Troy, MI is seeking a highly organized and detail-oriented Administrative Assistant / Office Coordinator to support daily office operations and production department activities. This role is responsible for a variety of administrative, accounting, customer service, purchasing, receptionist, and clerical functions. The ideal candidate will be professional, dependable, able to handle confidential information, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities- Perform daily administrative and clerical support functions for office and production operations
- Enter and maintain invoicing data and employee training records
- Review customer job documentation and verify pricing for management approval
- Prepare reports, summaries, correspondence, and other business documents
- Maintain filing systems, records, and department documentation
- Communicate with customers regarding job status, accounts, and inquiries
- Review accounts payable invoices for accuracy and proper coding
- Assist with purchasing and procurement activities, including document processing and vendor follow-up
- Serve as the primary receptionist, answering phones and greeting visitors professionally
- Provide backup support for shipping and receiving operations
- Coordinate meetings, appointments, and conferences
- Prepare meeting materials and maintain training manuals and reference materials
- Process outgoing mail and maintain office records
- Assist with employee-related administrative functions, including scheduling physicals and preparing incident reports
- Perform additional administrative duties as assigned
- High School Diploma or GED required; college coursework preferred
- Minimum of 2 years of administrative, office support, or clerical experience
- Strong computer skills including data entry, Microsoft Office, and word processing
- Typing speed of 45 WPM with accuracy
- Experience with 10-key data entry and basic accounting functions
- Excellent organizational and time management skills
- Strong verbal and written communication abilities
- Professional phone etiquette and customer service skills
- Ability to handle confidential information with discretion
- Valid driver's license and good driving record
- Ability to work independently with minimal supervision
- Experience with accounts payable and purchasing functions
- Knowledge of office procedures, recordkeeping, and report preparation
- Strong attention to detail and problem‑solving abilities
- Ability to prioritize multiple assignments and meet deadlines in a changing environment
- Frequent sitting, standing, walking, typing, and use of office equipment
- Ability to lift up to 20 pounds occasionally
- Ability to work in an office environment with occasional exposure to production areas
$20 a hour
1st shift: 8a-5p
