Job Description
- Shawnee Elementary – PM
- Internal Only or Long Term Sub
- 5 hrs/day
- $17.63/hr (Long term sub hired through EDUStaff at $16.75/hr)
- 10 month position (217 days)
- Effective 2026/27 school year
Performs a wide variety of clerical support services to assist the efficient operation of the assigned elementary school office while maintaining confidentiality.
Duties and Responsibilities- Greets community, staff and students to the office; uses proper business etiquette to answer telephone calls and emails.
- Assist in processing student registrations.
- Assist in maintaining student records.
- Record student daily attendance and assist in running appropriate reports as needed.
- Tabulate daily lunch counts and submit them to the central kitchen.
- Assist in maintaining immunization and other health records.
- Assist in processing purchase orders.
- Dispense medication to students.
- Assist in monitoring sick and injured students.
- Assist in creating student programs, awards, certificates, newsletters, etc.
- Assist in scheduling and processing building use requests.
- Distribute incoming mail and prepares outgoing mail.
- Operate office machines such as photocopiers, scanners, computers, printers, calculators, facsimile machines, voicemail systems, and telephones.
- Communicate with customers, employees, students, and other individuals to answer questions, disseminate or explain information and address complaints.

EducationHigh school diploma or equivalent.
Experience- No previous clerical experience required.
- One year of related experience providing clerical support in an office setting preferred.
- Basic math.
- Principles and processes for providing customer services.
- Administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, designing forms, and other office procedures.
- Structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Read and interpret district policies, guidelines, and government regulations.
- Participate in training classes.
- Write routine reports and correspondence.
- Interpret a variety of instructions furnished in written, oral, diagram or schedule form.
- Learn different software systems.
- Multi‑task, be organized, meet deadlines, and work in a fast‑paced work environment.
- Work cooperatively with teachers, community, students and staff.
- Read, write, and communicate effectively in English to perform essential job duties, including but not limited to understanding and following safety instructions, responding appropriately to emergency situations, completing documentation, and interacting with English‑speaking staff, students, community and supervisors.
- Word processing 40 wpm.
- Data entry skills minimum 6000 strokes per hour, 95% accuracy.
- Word processing programs.
- Basic math skills.
- Good verbal and written communication skills.
- Customer service skills.
- AS400 (preferred).
- Power School (preferred).
- Keyboarding, data entry, word processing, basic math, alpha filing, customer service, proofreading are required.
- Basic AS400 and basic Power School are preferred.
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Frequently required to sit, use hands to finger, handle, or feel; talk and hear. Occasionally required to stand, walk, reach with hands and arms; stoop, kneel, crouch, or crawl. Must occasionally lift and/or move up to 30 pounds of file and materials.
Specific vision abilities required: close vision and ability to adjust focus, especially due to concentration on a computer screen and small numbers.
The noise level in the work environment is moderate to loud.
