The Hilb Group is currently seeking a motivated and ambitious Administrative Specialist to join our team. This position will report to our agency located in Lindwood, MI. The ideal candidate will be motivated to succeed, is well organized, able to prioritize, and able to work well with a team.
This is an in-office position.
- Sort, scan, and log incoming carrier and client checks
- Distribute all incoming faxes and monitor general office email inbox
- Place orders for all office supplies for Cranston office
- Assist in organizing meetings and office events, including ordering food or refreshments
- Manage postage meter and printer/scanner supplies and maintenance
- Provide administrative and clerical assistance such as scanning, printing and mailing
- Assist with data processing projects as directed by the P&C Operations Manager
- For an assigned shift, answer and direct incoming phone calls to appropriate regional branches or staff.
- Forward new business calls distributed as instructed
- For an assigned shift, direct and provide assistance to customers and other people visiting the Agency
- Be a backup to receive, open, sort, and scan incoming mail
- Be a backup to sign for all deliveries and other services rendered to the Agency
- Be a backup to maintain conference room schedule and directs visitors to appropriate rooms
- Minimum High School degree
- Demonstrated communications and interpersonal skills.
- Basic working knowledge of computer hardware setups
- Strong working knowledge of Microsoft Office products including Word and Excel
- Familiarity with insurance workflows and processes desired but not required
- Ability to learn and adapt to new and evolving software products relevant to the insurance industry
- Perform all job requirements, consistently produce quality work, complete tasks accurately and on time, prioritize and plan work assignments, use time efficiently to meet productivity standards and commitments
- Take responsibility for own actions and be responsive to coaching from account managers and department manager
- Strive to continuously pursue training and development opportunities to build knowledge and skills
- Understand and follow established Hilb procedures
- Understand and follow policies published in Hilb Employee Handbook
